Animal Emergency Service (AES) Canberra is seeking a proactive and highly organised
Business Support Officer to support the day-to-day operations of our busy emergency veterinary hospital. This is a unique opportunity to combine your administration expertise with meaningful work that helps ensure pets receive life-saving emergency and critical care when they need it most.
As a key member of our hospital team, you'll work closely with hospital leadership, operational teams, vendors and support functions to ensure our people, processes and systems operate efficiently. From coordinating schedules and onboarding to supporting inventory, accounts administration and compliance activities, you'll play a critical role in the smooth running of our hospital.

About the Role
Reporting to the Hospital Operations Manager (or Hospital Administrator/Hospital Director), you will provide broad administrative and operational support across the hospital. This is a varied role that requires strong organisation, initiative and the ability to manage multiple priorities in a fast-paced environment.
Key responsibilities include:
- Providing administrative support to hospital leadership and operational teams
- Coordinating schedules, records, documentation and operational reporting
- Supporting onboarding activities and training coordination
- Assisting with rostering and team administration where required
- Managing inventory ordering, stock tracking and equipment repair coordination
- Supporting invoice processing, reconciliations and expense management
- Maintaining WHS, training and compliance records
- Coordinating communication between hospital teams, vendors and support functions
- Tracking actions, projects and operational follow-ups to ensure deadlines are met
About You
We're looking for someone who enjoys being the person others rely on to keep things organised and running smoothly.
You'll ideally bring:
- Previous experience in administration, business support, operations or office coordination
- Excellent organisational and time-management skills
- Strong attention to detail and follow-through
- Exceptional communication and stakeholder management abilities
- Confidence using Microsoft Office and business systems
- The ability to prioritise competing tasks in a busy environment
- A proactive, solutions-focused approach
- Experience with inventory management, accounts administration or WHS coordination will be highly regarded
