Overview: inSynergy Advisory is a privately owned Sydney based residential property investment advisory that has been operating for more than a decade, with its head office in Manly on Sydney's Northern Beaches. We are seeking an experienced Business Operations Manager to organise and control the functions and resources of our Manly office, including its administrative systems and office personnel. The business occupies three office spaces across two levels, and you will be responsible for the allocation and management of that space, its equipment and supplies, and the administrative systems and workflows operating across it. You will plan and review the office services the business requires, set administrative priorities and service standards, manage the records and accounts of the office, coordinate personnel activities reporting to the General Manager, and ensure the office remains safe, compliant and running well.
Responsibilities:
- Contribute to the planning and review of office services, and set priorities and service standards for the administrative function
- Allocate administrative resources, workspace and equipment across the three office spaces the business occupies over two levels, including workstation and meeting room allocation and space planning
- Manage office facilities, equipment and supplies, ensuring equipment is serviced and maintained and that operational needs are met
- Assign work to administrative and support staff and monitor their work performance, providing daily direction, prioritisation and feedback
- Manage the records and accounts of the office, including client and Platinum Client records, business documentation, invoice review, payment processing and coordination with the company's accountant
- Liaise with the firm's property investment advisers, finance strategists and buyers agents, and with external professionals including accountants, brokers, solicitors and the IT provider, to coordinate office business and resolve operational problems
- Manage relationships with suppliers and external service providers, including arranging services, reviewing invoices, monitoring service delivery and following up issues
- Manage staff access to company systems and software, including liaison with the external IT provider and internal access approvals
- Ensure compliance with work health and safety regulations across all office areas, including inspections, first aid and emergency procedures, and remedial action
- Ensure administrative work complies with relevant government legislation, regulatory obligations and company policies and procedures
- Coordinate personnel activities in conjunction with the General Manager, including assisting the General Manager with hiring and payroll, and with promotions, performance management, training and supervision
- Manage the administrative onboarding of new staff so that each new starter has the information, systems, access and support required
- Manage the administrative side of the client journey from initial meeting through workshops, payments, proposals and planning stages, and coordinate client, Platinum Client and planning proposals
- Coordinate meetings, workshops, internal activities, team events and company celebrations
Requirements:
- A Diploma or relevant office management experience will be accepted in lieu of the formal qualification
- Three to five years of relevant experience in an office management or business operations management role
- Demonstrated experience planning and reviewing office services and setting administrative priorities and service standards
- Demonstrated experience allocating human resources, workspace and equipment, and managing office facilities
- Demonstrated experience assigning work to administrative staff and monitoring work performance
- Demonstrated experience managing office records and accounts, including invoice review and payment processing
- Experience coordinating personnel activities, including assisting with recruitment, payroll and onboarding
- Working knowledge of work health and safety obligations in an office environment
- Advanced Microsoft Office skills and the ability to learn new business systems quickly, including CRM platforms
- Excellent written and verbal communication skills, high attention to detail and strong organisational and time management skills
- The ability to remain composed and productive under pressure in a fast paced environment
- Experience in a property, real estate, financial services or professional services environment is desirable
