Position Summary
We are seeking a detail-oriented and proactive Operations/Program Coordinator to join our team. This role will provide critical support to the Hydraulic Service Team, assisting with scheduling, quoting and management of administration for the team in an efficient and accurate manner.
Skills & Experience Required:
- Preferred experience in the fire industry environment
- Proven experience working in a service-desk, operations and scheduling role will be highly regarded
- Knowledge of Fire Protection software “Uptick” will be an advantage
- Excellent communication skills, ability to communicate clearly and professionally, both verbally and in writing.
- Strong organisational skills, ability to manage multiple tasks and prioritise effectively.
- Attention to detail, ability to accurately and thoroughly record information.
- Ability to work well under pressure
- Strong interpersonal skills required for working in a multi-team environment
- Self-Starter & Team Player - Ability to work independently and as part of a team.
- Strong Stakeholder management across clients, contactors and internal teams.
- In-depth knowledge of MS Office software
Job Description Overview
- Respond to email enquiries
- Answer in-bound telephone enquiries as required
- Scheduling and calendar management for the hydraulic team
- Overseeing field technicians and subcontractors across Preventative maintenance, reactive works and emergency call-outs
- Creation of quotations for jobs and inspections as required by the customer
- Creating job tickets for service requests and provide customer notification of technicians assigned and subsequent follow up
- Follow up and management of open tasks, including follow up with suppliers and contractors with view to job closure
- Identify and forward AFSS related enquiries to Certification team
- Sort and file customer quote approvals to be converted into new jobs
- Set up and schedule annual Full Function Fire Testing (FFFT) as requested
- Submit and secure technician’s access request for assigned jobs and testing
- Liaise and support Accounts team to close out invoicing enquiries and obtain & assign POs to relevant jobs to be invoiced
- Set up new clients for alternate billing requirements
General administrative tasks for the hydraulic and general service team as required
Pay: From $80,000.00 per year
