The Role
We are seeking an experienced Assistant Practice Manager / 2IC to support the day-to-day operations of both clinics. This is a pivotal leadership role, acting as a key support to management and a go-to person for doctors, nurses, and reception staff.
You will help ensure smooth clinic workflows, strong communication, high standards of patient care, and consistent operational excellence across both sites.
This role is available as a full-time position.
Key Responsibilities
Clinic Operations & Oversight
- Support daily clinic operations to ensure efficiency and high-quality patient care
- Act as the daily go-to person for doctors regarding on-site or operational issues
- Oversee checklists, systems, and workflows to ensure consistency and compliance
People & Performance Management
- Support and lead reception, nursing, and administrative teams
- Assist with recruitment, onboarding, training, and implementation of new processes
- Manage rosters, timesheets, and staff schedules
- Conduct probation reviews, performance reviews, and support staff development
- Foster a positive, accountable, and professional team culture
Administration & Finance
- Assist with billing, payroll support, accounts, and invoicing
- Oversee appointment scheduling, medical records, and day-to-day administration
- Support accurate use of practice management and billing systems
Patient Experience & Communication
- Address patient feedback and concerns with professionalism and empathy
- Communicate clinic updates clearly to staff
- Liaise with external stakeholders, suppliers, and service providers
Executive & Management Support
- Provide executive assistant support to management as required
- Assist with diary coordination, follow-ups, and operational reporting
Facilities & Compliance
- Ensure clinic facilities are well-maintained and functioning smoothly
- Support compliance with healthcare regulations and practice standards

Skills & Experience
- Proven experience in medical administration and team leadership
- Strong understanding of general practice operations
- Familiarity with MBS billing, Best Practice, Automed, HotDoc (or similar)
- Experience with medical accounts and accounting software (e.g. Xero)
- CPR certification (or willingness to obtain)
- Strong computer literacy and multitasking skills
