We are seeking a highly organised and detail-oriented Asset & Data Coordinator to support the integrity of our asset information, systems, and operational processes.
Reporting to the Facilities Manager, you will play a key role in maintaining and improving asset data, coordinating system updates, and supporting operational processes across a large asset portfolio. Working closely with internal teams, subcontractors, and clients, you will ensure asset information, documentation, and system records remain accurate, compliant, and up to date.
This role is central to ensuring information flows efficiently between stakeholders and business systems, supporting service delivery outcomes, KPI achievement, and continuous improvement initiatives. About the Role

Asset Data Management: Maintain and update asset records across business systems, ensuring data accuracy, consistency, and completeness across large asset portfolios.
- System Administration & Coordination: Support the administration and optimisation of Uptick and other CMMS platforms, implementing asset updates, workflow changes, and system improvements.
- Data Quality Assurance: Identify, investigate, and resolve data discrepancies through auditing, validation, reconciliation, and ongoing data cleansing activities.
- Contractor & Stakeholder Coordination: Act as a key link between subcontractors, operational teams, and business systems, ensuring documentation and asset information is received, processed, and accurately reflected within company systems.
- Documentation & Compliance Processing: Coordinate and process service reports, compliance documentation, and contractor submissions, ensuring information is accurate, complete, and processed within required timeframes.
- Process Improvement: Review existing workflows and identify opportunities to improve data quality, streamline processes, enhance user experience, and drive operational efficiency.
- Reporting Support: Extract, edit, and review data to support audits, operational reporting, and informed decision-making.
- Maintenance Coordination: Support the scheduling and delivery of planned and reactive maintenance, directing work orders to contractors and monitoring completion within required timeframes.
- General Coordination Support: Provide broader administrative and coordination support across the contract team as required, contributing to successful service delivery and contract outcomes.
About You
You are a proactive and highly organised professional who enjoys working with systems, data, and process improvement. You take ownership of your work, have exceptional attention to detail, and are comfortable managing multiple priorities in a fast-paced environment.
You will ideally bring:

Demonstrated experience working with large datasets.
- Advanced computer literacy and confidence learning new systems and technologies.
- Advanced Microsoft Excel skills, including complex formulas and lookups, pivot tables, data manipulation, reporting, and analysis.
- Experience using Uptick (highly regarded), asset management, workflow, or maintenance management systems.
- Exposure to Microsoft Access or other database platforms.
- An understanding of system integrations, APIs, or data exchange processes would be advantageous.
- Strong attention to detail and the ability to accurately interpret and follow documented procedures.
- Excellent communication skills and the ability to work effectively with internal stakeholders, contractors, and clients.
- Strong problem-solving skills and a continuous improvement mindset.
- A self-directed approach with a high level of accountability, initiative, and ownership.

Requirements

Demonstrated experience in data coordination/analysis, asset administration, systems coordination, or a similar role.
- Strong proficiency in Microsoft Excel.
- Experience working with asset management, Uptick, or workflow systems.
- National Police Check (or willingness to obtain).
- Working with Children Check (or willingness to obtain).
- Current Driver's Licence.
