Our client has an excellent reputation for supplying premium products from 6 different suppliers, maintenance and servicing programmes whilst delivering superior customer satisfaction. As they continue to expand they are looking for a pro-active administrator to work closely with the Director of Sales. You will be part of a small friendly team who work together to deliver excellent results to clients.
The role is varied and will have a spread of administrative duties across sales, operations, marketing and general office. The successful candidate will be working in a fast paced environment and must be able to multi-task and prioritise.
Key Responsibilities
- Coordinate all inspection, remedial, training, and construction bookings from customer acceptance through to project completion.
- Prepare and issue customer quotations, costings, and associated documentation for inspection, remedial, and training services.
- Maintain and administer inspection schedules, staff booking schedules, client databases, and online portals, ensuring information is accurate and up to date.
- Coordinate travel, accommodation, and logistics arrangements for operational personnel.
- Provide administrative support to field-based inspection and construction teams, as well as the management team.
- Assist with the preparation, publication, and timely delivery of inspection reports in accordance with company standards and service level agreements.
- Create, maintain, and improve documented procedures, systems, records, and administrative processes.
- Manage and maintain filing systems, operational records, and documentation relating to inspections, construction activities, and Australian and International Standards.
- Answer and manage incoming telephone enquiries and provide professional customer service support.
- Coordinate office facilities, maintenance, servicing, IT support requirements, contractors, cleaners, and other service providers.
- Monitor and replenish office, kitchen, and bathroom supplies while ensuring the workplace remains organised and presentable.
- Support operational planning by ensuring staff, schedules, documentation, and resources are fully prepared and informed.
- Contribute to continuous improvement initiatives to enhance operational efficiency, compliance, and administrative effectiveness.
- Ensure all documentation, records, and business collateral are maintained in accordance with company policies, procedures, and quality standards.
We are looking for candidates who:
- Have intermediate skills in Excel, Word and Powerpoint ADOBE Suite a bonus·
- Have a proven track record in office administration
- Have demonstrated proficiency in organisation, planning and time management
- Have high levels of attention to detail and accuracy
- Have proven ability to problem solve and work to tight deadlines
