Pharmacy Administration Officer
Ongoing, Part Time Role – 16 Hours per Fortnight
About the Team
The Pharmacy department at Peter Mac provides a comprehensive patient-focused service, incorporating all facets of innovative clinical pharmacy practice. Specialised areas include antimicrobial stewardship, quality use of medicines, pharmacogenomics, clinical cancer informatics, medicines information, and clinical education. The department has an ongoing commitment to practice-based research and offers opportunities for involvement to all staff.
About the Role
We are seeking an enthusiastic and well organised person to fill a Part-Time Pharmacy Administration Officer role (16 hours per fortnight) in the Pharmacy Department. The role involves providing administration support for the Pharmacy Department including the Pharmacy Administration Team.
About You
The successful candidate should demonstrate the below skills and attributes:
- Excellent communication skills and interpersonal skills, including being proactive and friendly.
- Customer focused, with the ability to determine and exceed customer expectations.
- Demonstrated ability to build and sustain relationships with colleagues and customers.
- Ability to prioritise tasks and organise time.
- Computer literate and administration experience in a healthcare/hospital setting.
Applicants must have completed their Victorian Certificate of Education and possess advanced Microsoft Office skills, particularly in Word, Excel and Outlook.

Position Summary
The Pharmacy Administration Officer is responsible for providing administration support to Pharmacy predominantly Pharmacy Administration and Clinical Trials.
Key responsibilities include:
Provide exceptional customer service to patients, carers, staff and visitors to Pharmacy.
Perform general office and reception duties, including invoice management, timesheet coordination and reception duties.
Proactively file and archive patient and staff activities.
Manage incoming and outgoing mail of Pharmacy.
Maintain department office space.

Skills
Essential Requirements
Previous health service administration experience.
Strong customer service skills, able to communicate effectively and respectfully with both internal and external customers.
Demonstrated skills in the use of IT systems, preferably in a health care setting.
Desirable Requirements
Experience using patient administration systems, in particular iPM.
Experience in processing invoices and raising purchase requisitions.
Experience in using electronic ordering system, in particular Oracle.

1. Exceptional Customer Service
Provide high level of customer service to patients, carers, staff and visitors to Pharmacy.
Obtain the required information from patients, carers, staff and visitors in an efficient and courteous manner.
Respond to patient and staff queries in a timely and respectful manner consistent with organisational guidelines.
Respond to telephone queries professionally and efficiently.
Ensure all emails and requests from Director of Pharmacy are actioned in a timely manner.
Maintain professional relationships with staff from other departments.
2. Filing and Archiving
File patient activities such as Chemotherapy Charts and Prescriptions in Clinical Trials Pharmacy in a timely manner.
File staff activities such as Commencement Paperwork, Leave Forms, and Performance Reviews in a timely manner.
Maintain training activities log for Clinical Trials Pharmacy as required.
Perform role in line with confidentiality and privacy requirements.
Proactively archive patients and staff records efficiently or as required.
Maintain archive supplies and place orders when required.
3. Support the Department
Work cooperatively as part of the team and assist other areas and staff as necessary.
Process orders in Oracle when required.
Process invoices in timely manner and liaise with Finance when required.
Collect and process Timesheets efficiently.
Other tasks as directed by Team Lead or Pharmacy Managers.
