THE ROLE
As one of four Business Support Officers in the Children, Families and Safeguarding Division you will be responsible for providing business, coordination and administrative support to one of the division's branches. This role supports the Executive Director and other relevant executives to prioritise and progress urgent, sensitive or strategically important matters and provides quality assurance and coordination support. This includes the provision of high-quality records management, briefing support, meeting scheduling, and supporting HR and other business processes.
Your role will include working collaboratively with other business support staff as a team. The role will support the Office of the Deputy Secretary including in developing and contributing to planning, workflow and business processes across the Children, Families and Safeguarding Division.
ACCOUNTABILITIES INCLUDE
- Support quality assurance and coordination across briefings, correspondence and other written materials for the branch, including acting as key branch contact for the Brief Connect or equivalent briefing system.
- Use departmental systems, including OneNote, Teams, SharePoint, Brief Connect and Outlook, to triage and respond to incoming workflow, support agreed filing conventions and take the coordination lead for the branch inbox.
- Identify and appropriately escalate issues having regard for political and environmental sensitivities and interrelationships of stakeholders and the integrated nature of program and service delivery activities.
