Train Services Administrator

About the role
As the Train Services Administrator, you’ll play a vital role in keeping V/Line’s Train Services department running smoothly and efficiently. Reporting to the Business Administration Manager, you’ll be the go-to person for a wide range of administrative functions that support our drivers, workforce controllers, and leadership team.
This is a hands-on, full-time role based at Southern Cross Station, with occasional travel to regional depots. You’ll thrive in a fast-paced environment where no two days are the same—whether you’re coordinating meetings, managing documentation, or ensuring our depots are well-stocked and supported.
Key Accountabilities include:
Generate regular reports as required by management, summarise by analysing key information and highlighting areas for improvement.
Organise and maintain documents, records, meeting minutes and agendas and correspondence ensuring they are accurately filed through our sharepoint function
Maintain the various driver depots by managing stock levels and ordering amenities
The scheduling of appointments, travel arrangements, and coordinating logistics for meetings and events, including active participation
Coordinate financial tasks including raising and managing our supplier PO’s as required while actively managing the invoicing components
About you
With your background in administration, you are highly organised and have great stakeholder management skills. Always open to change, you enjoy sharing ideas around process improvements and you know how to prioritise, making impactful decisions and collaborating effectively with the rest of the team.
Our ideal candidate will have prior experience in:
Proven experience in an administrative or admin support role.
Demonstratable knowledge of Microsoft Office and experience using digital systems.
Ability to work on-site at Southern Cross Station
Excellent communication and stakeholder management skills.
A flexible, can-do attitude and the ability to adapt to changing priorities.

This is a permanent, full-time position classified as Clerk 4 ($52.45p/h) under the V/Line Rail Operations and Administrative Employees Agreement.
