We're looking for an Executive Support & Operations Officer to join our Business Services Division, providing high-quality operational, reporting and executive support to our Chief Operating Officer (COO) Office and Leadership Team.
This is a varied role where you'll coordinate divisional reporting and governance activities, prepare executive-level communications and presentations, support key business deliverables, and help drive the smooth operation of a busy and collaborative division.
About the role
Working closely with the COO, Business Services Leadership Team and stakeholders across QTC, you'll play a key role in ensuring priorities, reporting obligations and operational activities are coordinated and delivered effectively.
Your responsibilities will include:

Coordinating divisional reporting, governance submissions and business deliverables.

Preparing and reviewing executive reports, presentations, briefing notes and communications.

Managing action registers, governance records and other key operational artefacts.

Supporting leadership meetings, events, planning activities and divisional operating rhythms.

Monitoring key priorities, milestones and deliverables across the division.

Supporting employee engagement initiatives and divisional People Plan activities.

Acting as a key liaison between the COO Office, Business Services Division and corporate support functions.

Providing executive support including diary management, travel coordination, expenses, meetings and general administration.

Supporting continuous improvement initiatives and the effective use of digital and AI-enabled tools.

Experience providing executive, business operations or divisional support in a corporate environment.

Strong written communication skills with experience preparing reports, presentations, briefing materials and communications for senior leaders.

Exceptional organisational skills and attention to detail.

The ability to build strong stakeholder relationships across all levels of an organisation.

Sound judgement, initiative and a solutions-focused mindset.

Advanced Microsoft 365 skills, including Outlook, PowerPoint, Word, Teams and SharePoint.
