About the role:
As a Pro Bono & Responsible Business Assistant, you’ll play a vital role in supporting our Pro Bono Lead and Responsible Business Manager. You’ll be involved in the day-to-day running of our Foundation, which includes pro bono legal services, community volunteering, and charitable contributions. Your work will directly contribute to helping disadvantaged individuals, marginalised groups, and not-for-profit organisations gain access to justice and other essential services.
Working closely with our small, dynamic team, you'll assist in implementing key initiatives, including our Reconciliation Action Plan, and help drive our community engagement activities. This role offers you the opportunity to develop and expand your administrative and project management skills, while also helping to shape the firm's pro bono and responsible business strategy.
The role is based in our Sydney office working part-time, 4 days per week.
Key responsibilities will include:
- Support the Head of Pro Bono and Head of Responsible Business with administration, coordination and delivery of the firm’s pro bono, community engagement and Responsible Business activities, including progress against pro bono targets and strategic initiatives.
- Coordinate ongoing pro bono advice clinics, including intake of warm referrals, internal allocation based on expertise and capacity, and liaison with external stakeholders.
- Support the identification, engagement and relationship management of external stakeholders.
- Support the development, implementation and ongoing coordination of the firm’s Reconciliation Action Plan.
- Draft internal and external communications under guidance, and assist with monitoring and reporting on pro bono and community activities.
- Build and maintain strong working relationships with internal and external stakeholders.
- Develop excellent working relationships with internal and external clients.
- Work in a timely and effective manner to ensure all tasks are completed.
- Assist with travel/flight bookings and produce itineraries in accordance with CBP protocols.
- Prepare accounting reports in relation to clients and matters as required.
- Perform matter enquiries and update authors on fee, disbursement and invoice payment status.
- Manage new business intakes, including conflict checking, preparing cost agreements for new matters and attaching them to Elite 3E.
- Maintain Zeno expense management system for authors on a weekly basis, processing expenses on a timely basis and in line with practice policy.
- Other tasks that may arise from time to time and/or requested by direct supervisor/s or a People & Culture representative.

- Proficiency with Microsoft Office packages (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills, including excellent grammar, spelling and attention to detail.
