The opportunity
CSIRO’s Business and Infrastructure Services unit (CBIS) manages a complex property portfolio that supports CSIRO’s research, operational and administrative activities across Australia. This includes a diverse range of scientific research facilities, National Research Infrastructure, office spaces and administrative sites.
As the CBIS Officer Administration, you will provide day-to-day administrative, logistical and customer service support to help ensure the effective operation of CBIS facilities and site-based services. You will work closely with a regionally dispersed facilities operations team, supporting administrative systems, client requests, health and safety record keeping, contractor management, security processes and reception coverage.
This is a locality-based role that shares responsibility for coverage of the main reception and requires the successful candidate to work full-time on site.
Your high-level duties will include:
- Provide general team support, including monitoring shared inboxes, answering phone calls, distributing requests and escalating issues as required.
- Respond courteously and efficiently to client requests, maintaining clear communication and monitoring client satisfaction.
- Undertake a broad range of property-related administrative activities in support of the CBIS site, state or regional team.
- Use and support facilities management, access control and safety systems.
- Support health, safety and contractor management record keeping, including contractor inductions and related documentation.
- Assist with site security administration, including keys, access cards, ID cards, registers and related processes.
- Maintain accurate records, files and databases in line with administrative systems and processes.

Salary: AU$76k – AU$96k per annum (pro-rata for part-time) + 15.4% superannuation

As the successful candidate, you will bring:
- Demonstrated ability to manage property administration functions in a complex facilities environment, including the ability to prioritise workloads, problem solve by identifying solutions and considering implications, and the ability to recognise and make changes to improve performance.
- Demonstrated experience and a willingness to undertake a range of general administrative support tasks in an office environment.
- Proven ability to demonstrate initiative, actively contribute as a team member and share relevant and useful information.
- Proven experience effectively gathering and communicating information, ideas, and concepts verbally, together with the ability to convey complex information in a straightforward and understandable manner.
- Demonstrated strong organisational skills and the ability to prioritise demands, accepting personal responsibility for doing the job well.
- Sound keyboard skills, knowledge of Microsoft Office applications including Outlook and Teams, and the ability to become familiar with use of facilities management specific software and systems.
Desirable:
- Knowledge or experience in the operation of Facilities based management systems that may include job logging, financial and building operations style platforms.
