Your Opportunity
As the Site Services Coordinator, you will contribute to the provision of a safe, effective and appropriate environment for TQST employees, students and visitors to site by:
coordinating site-based, facilities related activities and services, including but not limited to cleaning, grounds and equipment maintenance, general labouring support (e.g. repairs and minor works), security/site access etc.;
providing leadership and supervision to site-based Operations employees, capitalising upon opportunities to build workforce capability and ensuring that operational objectives are achieved; and
working collaboratively with the Manager, Infrastructure and Operations to develop and monitor agreed plans, schedules and contractual arrangements, including applicable service level agreements (SLAs), to ensure the achievement of daily operational requirements.
This position reports to the Manager, Infrastructure and Operations.
This is a Permanent Full-Time opportunity.
The position will be based primarily at Eagle Farm however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities

Assist in leading, managing and developing a team of Operations employees, including:
prioritising and delegating work tasks;
monitoring work volume and allocating resources, proactively considering financial impacts and minimising additional hours and/or overtime penalties wherever possible;
ensuring compliance with approved processes;
managing employee rosters/attendance, including the timely and appropriate management of timesheets and leave applications;
providing regular feedback (both informally and formally);
identifying and encouraging participation in training and professional development opportunities; and
assisting employees to build their understanding of TAFE Queensland policies and procedures through knowledge sharing and regular exposure to relevant information forums (e.g. staff briefings etc.).
Actively participate in a range of employment related activities for site-based Operations roles, co-ordinating with key stakeholders, including Operations management and Human Resources, with regard to: recruitment and selection processes; appointment, onboarding and induction activities; establishment and management of probation milestones and implementation of positive performance management principles, where required.
Proactively monitor site activities to ensure compliance with safety management protocols, including:
completion of appropriate external contractor inductions;
review/inspection of completed works to assess quality and compliance, ensuring that any delayed or incomplete work tasks are followed up with the relevant contractor;
undertaking of site safety observations and implementation of associated corrective actions;
routinely inspect fleet vehicles to ensure readiness for operation, escalating any concerns to the Assets and Fleet Coordinator for rectification;
monitoring of fire detection devices and fire systems to ensure operational effectiveness; and
ensuring the existence of current Standard Operating Procedures (SOPs), Risk Assessments and other relevant safety documentation.
Maintain the accurate and timely management of site-specific Archibus records, including monitoring the progress of logged requests, raising QBuild and direct-to-contractor requests, planning and prioritising of in-house requests, and ensuring the closure of completed jobs.
Provide local financial management support, including the creation of purchase order requests, approval of invoices for payment, undertaking corporate card reconciliation activities, and supporting the development of submissions for the procurement of capital equipment, as required.
Utilise computerised software and systems to support site-specific Operations functions, including assisting with the development and preparation of reports, briefs and correspondence relevant to the business operations of the team.
Collaborate proactively with a wide range of internal and external stakeholders, including Region employees at all levels, other Government Departments, third party lessees, and general members of the community; nurturing key relationships to maximise opportunities for improved site services.
Coordinate requests associated with the hire of TQST facilities to external parties, liaising with key stakeholders and monitoring such activity to ensure compliance with relevant TAFE Queensland procedures and positive levels of client satisfaction.
Contribute to continuous improvement through active participation in the development and review of business processes, documentation and practices as they relate to site management activities, and by identifying and capitalising upon opportunities to maximise utilisation of resources, personnel and knowledge.
Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the broader Operations business unit.

The ideal applicant will be someone who has the following key capabilities:
Proven ability to effectively lead and supervise the day to day activities and performance of employees, contribute to a high performing team and proactively seek and facilitate opportunities for self-development, and the development of others.
Sound knowledge of standards, practices and procedures relevant to facilities management, and the proven ability to apply this knowledge operationally to ensure the provision of a safe working environment.
Demonstrated ability to effectively utilise available resources to support the achievement of operational priorities, including the ability to analyse emerging situations, consider possible remedies, and determine an appropriate course of corrective action.
Ability to effective utilise and maintain relevant information and administration systems, including Microsoft Office, Archibus etc., including the ability to review operational data, draw conclusions, and make recommendations to inform business decisions.
Ability to communicate effectively, including establishing networks, developing rapport and maintaining positive and collaborative working partnerships with a range of internal and external stakeholders.
Mandatory Qualifications/Requirements
C Class license (role required to travel between sites)
Highly Desirable Requirements
Forklift ticket (or willingness to obtain such)
First Aid Certification (or willingness to obtain such)
Previous experience relating to fire systems and/or Fire Warden activities
Operational awareness of Workplace Health and Safety practices
