Your key responsibilities:
Manage the Office of the Chief First Nations Health Officer by providing confidential, executive and secretarial support including the production of high-quality documents, enquiry screening, diary management, organise itineraries and booking of approved executive travel and prevent unnecessary interruptions by screening telephone calls.
Undertake research, prepare high quality meeting notes/minutes, records management in line with legislative requirements.
Organise meetings and events generated/hosted by the Chief First Nations Health Officer, including negotiation with colleagues to schedule time in attendee diaries; and booking of rooms, equipment, catering and car parking for external attendees.
Manage the workflow of correspondence in line with priorities established by the Chief First Nations Health Officer, monitor important issues and follow up action when required.
Role fit
The essential requirements for this role are:
Proven ability and experience in effectively managing and prioritising the administrative functions and associated activities for Executive staff including the ability to initiate, determine and follow-up work priorities within mandated and tight deadlines.
A demonstrated understanding of historical and contemporary issues affecting Aboriginal and Torres Strait Islander people and subsequent health impacts.
Demonstrated ability to review, monitor and manage correspondence requests ideally via the use of a record management system.
Effective in quality checking own and others work accurately to ensure procedures are followed and a high level of quality is maintained.
