Luxe Cosmetic Clinic is a leading cosmetic and medical aesthetics group in Sydney, recognised for delivering premium client experiences and high standards of clinical care. As the company continues to expand across multiple locations, we are seeking a highly capable and commercially minded Executive Assistant to provide strategic and operational support to the Director and senior leadership team.This role is suited to a polished, proactive and highly organised professional who thrives in a fast-paced environment, demonstrates excellent judgement and communication skills, and is capable of managing competing priorities with discretion and efficiency.
Key Responsibilities
- Provide high-level executive support to the Director, including complex calendar management, meeting coordination, travel arrangements and confidential correspondence
- Act as a key liaison between management, internal departments, external stakeholders and business partners
- Coordinate day-to-day operational matters across multiple clinic locations to ensure effective communication and workflow efficiency
- Assist in the planning, execution and follow-up of business development, marketing and operational projects
- Support management with reporting, presentation preparation, document drafting and administrative oversight
- Monitor project progress, follow up on key action items and ensure deadlines are met to a high standard
- Assist with marketing campaigns, promotional activities and cross-functional coordination where required
- Maintain strict confidentiality in handling sensitive business and personal information
- Provide flexible operational support and travel between clinic locations as required
Candidate Profile
- Exceptional organisational and multitasking abilities with strong attention to detail
- Professional communication and stakeholder management skills
- Ability to work independently, exercise initiative and problem-solve effectively
- Calm, adaptable and capable of performing under pressure in a dynamic business environment
- High level of professionalism, discretion and personal accountability
- Strong business awareness with the ability to anticipate operational needs
- Genuine interest in the cosmetic, medical aesthetics or healthcare industry
- Flexible and willing to travel between clinic locations when required
Essential Requirements
- Minimum 2 years’ experience in an Executive Assistant, Personal Assistant, Operations Coordinator or similar support role
- Previous experience supporting senior executives or business owners preferred
- Bachelor’s degree in Business, Marketing, Management or a related discipline is highly regarded
- Strong proficiency in Microsoft Office and project management platforms
- Experience in marketing coordination, operations or client-facing environments is advantageous
- Excellent written and verbal English communication skills
- Mandarin speaking ability is highly desirable
- Full Australian working rights required
- Current driver licence and reliable transport preferred
