Primary objective
Lead, coordinate and support the staged implementation of Technology One as the Health Procurement System across Top End, Big Rivers and East
Arnhem regions, ensuring project activities are delivered within agreed scope, timeframes, governance requirements and operational priorities. The
role will coordinate project planning, stakeholder engagement, data readiness, testing, training, cutover, hypercare and post-implementation activities
to support a safe transition from legacy inventory and procurement processes to standardised Technology One workflows.
Context statement
NT Health is implementing Technology One to modernise procurement, inventory and warehouse management capability across the northern regions.
The rollout supports replacement of legacy Qantel processes, improved catalogue governance, inventory visibility, lot and expiry controls, GS1 barcode
scanning, fixed reorder quantities, recall traceability and a more consistent hub-and-spoke distribution model across Top End, Big Rivers and East
Arnhem. The role will work closely with regional stakeholders, warehouse and inventory teams, procurement, finance, ICT, system administration,
TechnologyOne consultants and operational subject matter experts to maintain continuity of supply while supporting business readiness and change
adoption.
Key duties and responsibilities
1. Develop and maintain detailed project plans, schedules, registers and implementation documentation for the TechnologyOne HPS rollout across
Top End, Big Rivers and East Arnhem.
2. Coordinate regional readiness activities including business process mapping, site preparation, data cleansing, catalogue review, stock-on-hand
validation, bin/location setup and cutover planning.
3. Support governance and reporting by maintaining risk, issue, action and decision registers, preparing project status reports and escalating matters
that may impact scope, timelines, budget, supply continuity or business readiness.
4. Coordinate workshops, meetings and working groups with regional stakeholders, operational teams, procurement, finance, ICT, system
administration, suppliers and TechnologyOne representatives.
5. Assist with the development, review and implementation of standard operating procedures, work instructions, business rules, training materials
and change communications for TechnologyOne inventory and procurement workflows.
6. Coordinate testing, user acceptance activities, training logistics, super-user support, go-live readiness checks, cutover activities and post-go-live
hypercare across regional sites.
7. Monitor benefits realisation and operational outcomes, including scanning compliance, catalogue accuracy, stock reconciliation, inventory controls,
issue resolution and lessons learned following each rollout wave.
Selection criteria
Essential
1. Demonstrated experience coordinating or managing complex projects, preferably involving system implementation, supply chain, procurement,
inventory management, changed management, budget management for health services or regional operations.
2. Strong project coordination skills, including planning, scheduling, meeting coordination, action tracking, RAID management, status reporting and
documentation control.
3. Highly developed written and verbal communication skills, with the ability to engage effectively with operational teams, regional stakeholders,
senior managers, ICT, vendors and subject matter experts.
4. Demonstrated ability to identify risks, issues, dependencies and operational impacts, and to support practical mitigation strategies in a complex
service environment.
5. Sound analytical and problem-solving skills, including the ability to interpret business requirements, support process improvement and contribute
to data readiness and workflow standardisation.
6. Ability to work independently, manage competing priorities and maintain attention to detail while supporting multiple sites and rollout activities.
7. Experience using Microsoft Office, Teams, SharePoint, project registers, reporting tools and project management.
Desirable
1. Knowledge of Technology One, inventory management, procurement systems, GS1 barcode scanning, FEFO, lot/expiry controls or health supply
chain operations is highly desirable.
