Primary objective
Lead the Primary Health Care Administrative Support Hub, located at the Peter Sitzler Building, to deliver efficient, effective, and
high-level administrative services, ensuring the professional operation of business functions that enable remote health care service
delivery.
Key duties and responsibilities
1. Manage Administrative Support Hub services efficiently through timely responses, ensuring systems and processes operate
effectively, including human resource and performance management of administrative support staff.
2. Manage the workflow of the unit, including monitoring and reporting, to ensure the timely completion of tasks and deadlines
are met.
3. Oversee property management and procurement requests, including Urgent Minor Repairs and oversight of the cleaning
services contract.
4. Provide orientation, mentoring, training and assistance to Administrative Support Hub staff, including building capability and
ensuring consistent and compliant administrative practices.
5. Undertake ad hoc administrative projects, audits or investigations to assist in the preparation of responses and reports.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken
in order to ensure high quality, safe services and work places.
7. Foster a positive workplace culture through exemplary leadership practices and role modelling behaviour.
Selection criteria
Essential
1. Demonstrated experience and high-level ability to build and lead a high-performing team of administrative staff through
effective recruitment, orientation, induction, supervision, performance management, mentoring and training.
2. Comprehensive understanding and strong working knowledge of administrative processes, including procurement, property
management, staff travel, records management, and financial and human resource management.
3. Demonstrated high-level oral and written communication skills with the ability to build effective relationships with
stakeholders, peers and departmental staff, and to exercise tact and diplomacy while maintaining confidentiality.
4. Proven ability to independently perform a broad range of administrative tasks to a high standard with limited supervision.
5. Highly developed self-motivation, time management, and organisational skills, with the flexibility to prioritise tasks, manage
competing demands, work under pressure, and adapt to changing priorities.
6. Demonstrated ability to proactively apply initiative to effectively analyse and resolve complex and practical problems.
7. Demonstrated experience in undertaking project work, conducting audits and preparing reports.
8. High-level information technology skills, including corporate information systems, email, word processing and spreadsheets.
9. Strong work ethic, including punctuality, reliability, professionalism and discretion.
