What this opportunity involves:
As the Assistant Facilities Manager at JLL, you will be a team player who works collaboratively with all team members to achieve key compliance and operational KPIs established by the client. In this role, you'll manage your own portfolio including a main corporate site and two to three smaller tenancies, while also gaining exposure to and supporting our retail portfolio. You'll support the Senior Facilities Manager in providing daily comprehensive facilities management including compliance, vendor and relationship management, along with delivery of services in accordance with the Management Agreement and company policies. An overview of the role:
Ensure compliance with regulations, client contract requirements, and all site procedures including Landlord Compliance requirements
Proactively develop and manage relationships with occupiers and clients to ensure service delivery expectations are exceeded
Assist with delivery of customer and property services across the portfolio, conducting building inspections and completing associated reports within governance timeframes
Manage vendors and coordinate facilities works as required, including chairing monthly contractor meetings and ensuring they perform to required standards
Proactively manage and monitor Help Desk and service outputs to achieve or exceed standards against agreed key performance indicators and service level targets
Serve as the on-site key point of contact for Facilities in the client's premises and across your portfolio, providing superior customer service
Manage work order platform requirements, verify work orders, and ensure financial processes are followed at all times
Conduct daily site inspections and follow up on corrective action, while monitoring Planned Preventative Maintenance programmes and Reactive Maintenance completion
Assist with procurement of vendors and services, proactively review invoices to ensure alignment with contractual rates, and coordinate timely invoice submission

Strong communication skills with demonstrated verbal and written abilities, including good presentation skills
Self-motivated, confident, and energetic personality with a passion for quality and attention to detail
Proven ability to work independently and as part of a team, with excellent interpersonal skills and a strong client focus
Capacity to deal with ambiguity, solve problems effectively, and handle stressful situations
Proficiency in MS Office applications
Demonstrated trustworthiness, honesty, and ability to initiate and follow through with improvement initiatives
Customer service focus with excellent people skills and ability to interact with a wide range of client staff and demands
Prior experience in facilities, property management, hospitality, or related field (preferred)
Knowledge of local occupational health and safety requirements and vendor management for specialised services (preferred)
