Sunshine Coast Neuro Rehab is a neurological physiotherapy practice supporting people living with neurological conditions to maximise their independence and achieve meaningful goals.
We're looking for a highly organised and experienced administrator to become an important part of our small and supportive team.
This role is ideal for someone who enjoys helping people, creating order, solving problems and ensuring everything runs smoothly behind the scenes. You'll take ownership of key administrative processes that support our clinicians to deliver exceptional care and help provide a positive experience for every client and family.
About the Role
Working closely with our Director and clinical team, you'll coordinate the administration that supports the smooth delivery of our clinic and mobile physiotherapy services.
This is a hands-on role where you'll work independently, manage competing priorities and take ownership of administrative workflows within established systems and processes.
Your responsibilities will include:

Managing phone, email and reception enquiries
- Coordinating referrals and new client intake
- Managing clinician diaries and appointment scheduling
- Monitoring waiting lists and supporting timely client follow-up
- Processing invoicing and funding administration
- Maintaining accurate client records
- Monitoring administrative requirements and following up outstanding documentation
- Supporting the ongoing improvement of administrative systems and workflows
- Creating a welcoming and professional experience for clients and their families
About You
You're organised, reliable and take pride in doing things well.
You enjoy creating order, solving problems and seeing things through to completion. You notice the details others might miss and enjoy knowing that your work helps both clients and clinicians have a better experience.
You are comfortable working independently, managing competing priorities and taking ownership of your responsibilities.
Essential

Previous administration experience
- Strong organisational and time-management skills
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Confidence using Microsoft Office and digital systems
- Ability to work independently within established systems and processes
- Ability to manage multiple priorities while maintaining accuracy and professionalism
Highly Regarded

Experience coordinating appointments, referrals or client intake
- Experience in allied health, healthcare or medical administration
- Experience with NDIS, Medicare, DVA, aged care or private billing
- Experience using Splose, Cliniko or similar practice management software
