The Role
An exciting opportunity has become available for an experienced Executive Assistant to join EPIC on a 7-months part-time contract to provide maternity leave cover.
Based residentially in our Karratha office, this role will provide high-level administrative and executive support to the CEO and broader leadership team. This is a dynamic and varied position where strong organisation, communication and attention to detail will be essential.
This role is offered on a part-time basis, working approximately 20–25 hours per week, Monday to Friday, with an anticipated commencement date of late August 2026.
Key Responsibilities
In this role, you will:
- Manage and coordinate the CEO’s calendar, appointments and priorities.
- Act as a key point of contact for emails, calls and internal enquiries.
- Coordinate Board and Executive Management meetings, including scheduling, agenda preparation and supporting documentation.
- Prepare reports, presentations, correspondence and other documents on behalf of the CEO.
- Take accurate meeting minutes and distribute actions in a timely manner.
- Support follow-up on action items, deadlines and key organisational priorities.
- Liaise professionally with internal and external stakeholders.
- Assist with company travel arrangements, bookings and logistics.
- Maintain confidential administrative systems, filing processes and document control.
- Support general executive administration and projects as required.
About You
You are an organised and professional Executive Assistant, Personal Assistant or senior administrator who enjoys supporting a busy leader and keeping things on track.
You are confident managing competing priorities, communicating with different stakeholders and working with sensitive information. You take pride in producing accurate work and are comfortable using technology to support efficient administration.
To be successful in this role, you will have:
- Excellent communication skills, both written and verbal.
- Strong administration and organisational skills.
- High attention to detail and accuracy.
- Strong IT skills, including confidence using Microsoft Office programs.
- Good working knowledge of Excel.
- The ability to manage confidential information with discretion.
- A proactive and solutions-focused approach.
- The ability to work independently and follow through on tasks.
- A positive and professional attitude.
Experience in an Executive Assistant, Personal Assistant, Board support or senior administration role will be highly regarded.
