Job Purpose:

Following some internal changes, we now have a great opportunity for a Marketing Funding and Operations Coordinator who is responsible for the day-to-day running of vendor-funded marketing: all the administration work behind the process from claiming through to the reconciliation of the claims.
The position works with relevant stakeholders to claim and lodge within provided deadlines, making sure suppliers are properly set up and paid promptly, and keeping a clear line of traceability for all vendor-funded activity, from campaign sign-off all the way through to financial close.
This position offers a development pathway into a junior channel marketing role.
Key Responsibilities of the role include:
- Support the end-to-end claiming across a number of vendor funding programs, each with its own portal, submission format, evidence standard and deadline.
- Maintain a program-by-program process library documenting each vendors claim requirements, portal access, submission windows and approval chain.
- Own the end-to-end supplier onboarding process through procurement, from vendor creation request to payment-ready status.
- Reconcile MDF clearing in SAP against the Power BI marketing tracker and investigate campaign ID discrepancies.
- Maintain the master funding and claims database as the operating source of truth.
- Collect and quality-check proof of execution against each vendors specific evidence standard.
To be successful in this role, you will need the following skills, experience and knowledge:
- High School Certificate or equivalent.
- Tertiary qualifications or equivalent experience.
- Between 2 to 5 years experience in a coordinator, administrator, or similar role.
- Experience supporting sales and marketing teams in a technology, distribution, or B2B environment.
- Strong administration and organisational skills.
- Excellent written and verbal communication.
- Attention to detail and accuracy, particularly when processing vendor claims.
- Stakeholder management and relationship-building skills.
- Intermediate to advanced Microsoft Office skills, especially Excel and PowerPoint.
