Costerfield Operations, owned and operated by Alkane Resources Ltd, is situated in Central Victoria, east of Bendigo and surrounded by numerous towns within a 50km radius, offering a variety of residential options.
Our current operation runs an underground mine and processing plant that is responsible for producing gold and antimony. The mine's workforce consists of over 250 permanent employees who hold various roles in professional, technical, mining, processing, and trades.

We are seeking a detail-oriented and proactive Administration Officer to join our Commercial team
About The Role
Reporting to Commercial Manager, this role provides essential administrative support across finance and commercial functions, including accounts payable, procurement coordination, vendor onboarding, and contract administration.
You will play a key role in ensuring accurate financial processing, maintaining robust records and systems, and supporting the effective management of supplier and contractor relationships.
The key responsibilities of the role include:
Financial Administration
- Review, verify, and process invoices in line with company procedures
- Match invoices to purchase orders and ensure appropriate approvals are obtained
- Investigate and resolve invoice discrepancies with relevant stakeholders
- Maintain accurate financial records and documentation
- Assist with month-end activities and ad hoc finance tasks
Procurement & Commercial Support
- Raise purchase requisitions and support procurement processes
- Assist with onboarding of suppliers and contractors, including documentation and system setup
- Provide administrative support to operational teams for purchasing activities
Contract Administration
- Support the preparation and coordination of supplier and contractor agreements
- Maintain contract files and central contracts register
- Monitor key contract milestones such as expiry dates, variations, and deliverables
- Assist with contract approvals, workflows, and document control
- Identify and escalate risks or inconsistencies in contract terms
Systems, Records & Compliance
- Maintain accurate records across finance, procurement, and contract systems
- Ensure documentation is complete, auditable, and compliant with company procedures
Contribute to continuous improvement of processes, systems, and templates

About You
Qualifications & Experience
- Minimum 2 years’ experience in a finance, administration, or commercial support role
- Experience in accounts payable, procurement, or contract administration is highly regarded
- Certificate III or higher in Business, Finance, or Administration (desirable)
