We are a community home care company looking for an experienced Receptionist / Administrator to join our amazing team. This is a front-of-house, office-based position and an important role within our business. You will often be the first point of contact for clients, families, staff, referral partners and members of the community, so professionalism, warmth and excellent communication skills are essential.
This is not just a traditional reception role. We are looking for someone who is proactive, commercially minded and willing to help us grow our client base while supporting the day-to-day administration and compliance requirements of the organisation.
About the Role
Your responsibilities will include:
- Managing reception and being the welcoming face of the office
- Answering incoming calls and responding to general enquiries
- Providing professional customer service to clients, families, staff and external stakeholders
- General administration, data entry, filing and document management
- Managing emails, correspondence, appointments and office communications
- Assisting with client enquiries, referrals, onboarding and rostering
- Supporting the team with compliance documentation, records and audits
- Maintaining accurate client and organisational information
- Following up documentation and ensuring records remain current
- Assisting with marketing activities to attract new clients and referral opportunities
- Building relationships with local businesses, community organisations, health professionals and referral partners
- Following up prospective clients and enquiries
- Assisting with social media, promotional activities and community engagement where required
- Supporting management and the broader team with general administrative duties
About You
We are looking for someone who is:
- Friendly, professional and confident dealing with people
- Highly organised with excellent attention to detail and great computer skills
- Able to manage multiple priorities in a busy office environment
- Proactive and comfortable taking initiative
- Confident communicating over the phone, by email and face-to-face
- Comfortable promoting services and speaking with prospective clients and referral partners
- Experienced in administration and office systems
- Familiar with compliance requirements, documentation and record keeping
- Reliable, professional and able to maintain confidentiality
- A strong team player with a positive, solutions-focused attitude
- Confident using Microsoft Office and general computer systems
Experience within community care, aged care, home care, disability, NDIS, health or a similar regulated environment would be highly regarded.
Experience in marketing, client engagement or referral generation would also be an advantage.
