Your Opportunity
We are seeking a proactive and highly organised professional to join our Perth Head Office as the Assistant to the Regional Leaders, supporting Community Services and NDIS portfolios. In this pivotal role, you will provide high level administrative and operational support to two extremely busy leaders, ensuring the smooth day to day running of the office while enhancing overall efficiency and productivity.
Working in a dynamic and fast paced environment, this is an on-site position where you will act as a central point of coordination, managing competing priorities, streamlining processes, and facilitating communication across a broad network of internal and external stakeholders. You will play a critical role in relieving the Regional Leaders of complex administrative detail, enabling them to focus on strategic and operational outcomes.
This opportunity suits a seasoned Executive Assistant who thrives on variety, demonstrates sound judgement in ambiguous situations, and is confident navigating evolving priorities, systems, and stakeholder needs.
Your Key Responsibilities:

Provide high-level administrative support to two Regional Leaders, ensuring seamless daily operations across Community Services and NDIS.

Manage complex and ever-changing calendars, proactively preparing leaders for meetings and coordinating schedules across multiple sites.

Coordinate meetings and events, including room bookings, agendas, minute taking, catering, and end-to-end logistics.

Act as a key point of contact, managing communications, enquiries, and visitors with professionalism, warmth, and confidentiality.

Prepare, proofread, and collate reports, presentations, and correspondence to a high standard of accuracy and quality.

Process invoicing, credit card reconciliation, and support project-related administrative tasks and approval workflows.

Develop, implement, and continuously improve administrative systems and processes to support efficiency and consistency across services.
Requirements for Success

Minimum 2+ years’ experience in a senior administrative or Executive Assistant role supporting senior leaders.

Relevant qualifications in Administration, Business, or a related discipline.

Advanced organisational skills with the ability to manage multiple competing priorities and adapt quickly to changing demands.

High level of initiative, sound judgement, and ability to work autonomously in complex or ambiguous environments.

Strong communication and stakeholder engagement skills, with the ability to tailor communication styles across diverse audiences.

High level of accuracy and attention to detail, including strong proofreading, reporting, and data collation capability.

Advanced computer literacy, with proficiency across multiple systems and the ability to quickly learn new platforms and tools

Full driver licence with no restrictions
Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.
