You’ll be responsible for the end-to-end coordination of minor works projects while supporting Project Managers on larger and more complex installations. Acting as the central point of coordination between customers, technicians, contractors, suppliers, and internal teams, you’ll help ensure projects and service activities are delivered safely, efficiently, and to a high standard.

- Maintain contractor compliance records, including licensing, WHS, and industry requirements
- Initiate and maintain accurate work orders, job documentation, and delivery systems
- Review and approve technician timesheets to ensure accuracy and alignment with work performed
- Assist with variations, change coordination, and job closure activities to support invoicing readiness
- Liaise with technical teams, suppliers, contractors, and customers to ensure smooth delivery outcomes
- Provide regular status updates to stakeholders on workloads, schedules, and delivery progress
- Contribute to continuous improvement initiatives across scheduling, job readiness, and delivery processes
Someone who thrives in a coordination-focused role, enjoys working across multiple priorities, and has a strong attention to detail. You’ll be highly organised, proactive, and capable of keeping projects and service activities on track while delivering a positive customer experience.
You’ll thrive if you have:
- Experience in project coordination, scheduling, service delivery, or project support roles.
- Background in physical security, building services, construction, or a related environment.
- Strong time management and resource coordination skills, with the ability to manage multiple concurrent jobs and competing priorities.
- Proven ability to identify risks, resolve scheduling conflicts, and maintain project momentum.
- Experience coordinating with technicians, contractors, or field-based teams.
- Understanding of project lifecycles, from planning and scheduling through to delivery and close-out.
- Strong communication and stakeholder management skills, with the ability to build effective relationships with customers and internal teams.
- Experience managing project documentation, work orders, job records, and administrative processes.
- Proficiency using business systems for scheduling, job tracking, asset management, and document control.
- A customer-focused approach and commitment to delivering high-quality outcomes.
- Flexibility to align working hours with operational requirements, enabling effective coordination with technicians, contractors, customers, and other stakeholders across varying schedules.
- Confidence collaborating with geographically dispersed teams using Microsoft 365, Teams, Outlook, and other digital tools.
Desirable extras include:
- Knowledge of security licensing requirements, WHS obligations, SWMS documentation, and installation compliance standards.
- Experience in procurement, inventory management, logistics coordination, or asset management.
- Understanding of ISO standards and compliance-focused environments.
- Financial acumen, including budget oversight, job costing, resource planning, and approval processes.
