ABOUT THE ROLE
This is a newly created role at Chess Moving NQ — and it's an important one. Once a client accepts their quote
from our sales team, you take over. From that point, you're their main point of contact. You handle the
communication, coordinate the booking details, relay the key information to our operations team, and make sure
everyone is set up for a smooth job.
You'll be trained directly by the person who built this role from scratch — so you won't be thrown in the deep end.
You'll learn every part of how we operate before you own it yourself.
WHAT YOU'LL B E DOI NG
Client Coordination — your main job
● Take over all client communication once a quote is accepted — you become their key contact
● Confirm booking details, job dates, access requirements and any special instructions
● Keep clients informed at every step — before, during and after their move
● Handle client questions professionally and warmly — remember, moving is stressful for most people
● Relay accurate job information to the Operations team so the crew is set up to succeed
Operations Administration
● Prepare next-day paperwork so the operations team starts each morning ready to go
● Call clients the day prior to confirm access, timing and any last-minute details
● Manage waybills, Pacific National slot bookings and trip documentation
● Coordinate with Toll, KRS and other partners and agents for interstate or assisted moves
● SCF and RW management — we'll train you on what this involves
Reception & Office Support
● Answer phones and direct enquiries warmly and efficiently
● Prepare and distribute householder pamphlets for new clients
● Handle banking, post office runs and stationery orders
Monthly Tasks
● SCF reconciliation — monthly reconciliation of freight documentation
● Phone and tablet reconciliation — usage and billing review
● Chess Pad reconciliation — tracking moving blankets owed or owing across our national Chess partner
network

EXPERIENCE & BACKGROUND
● Experience in customer service, administration, coordination or a client-facing role
● Confident on the phone and in written communication
● Comfortable with computers and learning new systems — we use Moveware for job management
● Any experience in removals, transport, logistics or trades administration is a bonus
● Experience with accounts or monthly reconciliation tasks is helpful but not essential
