About the role
Grace International Group Sydney is seeking an experienced Office Manager to join our team on a full-time basis. This is a senior administrative position responsible for overseeing the efficient operation of our four Sydney offices, located in Parramatta, Strathfield, Town Hall, and Haymarket.
The Office Manager will lead the day-to-day administration of the business, ensuring operational efficiency, consistency across all office locations, and the effective coordination of administrative resources and support functions. The successful candidate will play a critical role in maintaining high operational standards, implementing office procedures, and supporting the organisation's continued growth and performance. This position offers the opportunity to contribute strategically within a dynamic and professional working environment.
Key responsibilities
- Allocate duties and set work priorities for administrative staff, monitor work performance, provide guidance and feedback, and ensure service standards are consistently met across all office locations.
- Coordinate office-based personnel activities in consultation with Human Resources, including recruitment, onboarding, employee records, leave administration, staff training, performance monitoring, and coordination of timesheet and payroll information.
- Monitor office expenditure, coordinate supplier invoices and purchasing records, and provide administrative support to the finance team by maintaining accurate office accounts and operational expense records.
- Ensure office operations comply with work health and safety requirements, coordinate workplace safety checks, and address identified office hazards.
- Coordinate administrative services and shared office resources supporting the Admissions, Marketing and Migration teams, resolve operational issues, and promote consistent business processes across all office locations.
- Assess and coordinate administrative staffing, workspace, equipment and other office resources across the four Sydney locations according to operational requirements.
- Liaise with internal professionals, education providers, business partners, suppliers and other stakeholders to coordinate office operations and facilitate the timely resolution of administrative and operational issues.
- Coordinating day-to-day administrative operations, implementing consistent office procedures, and supporting administrative staff across all locations. Regular travel between Sydney offices may be required to ensure smooth business operations.
- Supervise and support administrative staff, fostering a collaborative, high-performing, and customer-focused work environment.
- Coordinate shared office calendars, internal meetings, staff events and operational travel arrangements where required, ensuring effective communication across all office locations.
What we're looking for
- Demonstrated experience in allocating administrative duties, setting work priorities, and monitoring staff performance across multiple teams or locations.
- Proven ability to manage administrative resources and coordinate operations across multiple office locations.
- Experience in monitoring office expenditure, coordinating suppliers, and maintaining purchasing and operational records.
- Sound knowledge of Work Health and Safety (WHS), record management, privacy, and relevant regulatory compliance requirements.
- Strong problem-solving skills with the ability to resolve administrative and operational issues efficiently.
- Excellent organisational, communication, and time management skills, with the ability to manage competing priorities in a fast-paced environment.
