The Business
Genus Pole Foundations Australia Pty Ltd (Genus PFA) is a subsidiary of the ASX-listed GenusPlus Group (GNP) and a market leader in asset inspection and reinstatement services for utility providers and the private sector. With a strong pipeline of work and continued growth, we are expanding our team.
We are seeking an experienced, organised and proactive Scheduler / Business Support Officer to join our Toowoomba office on a full-time basis.
Reporting to the Operations Manager or State Manager, this role is responsible for efficiently scheduling project work activities to meet client expectations, KPIs and financial targets, while providing essential administrative support to the operations team and wider business.
The successful candidate will thrive in a fast-paced environment, have excellent communication and organisational skills, and be confident coordinating field personnel, project requirements and competing priorities. Experience in the utilities, construction or resources industries will be highly regarded.
What You’ll Be Doing
- Scheduling project and site-based work activities to meet client requirements, KPIs and operational targets
- Maintaining accurate project schedules, job status information and operational records
- Coordinating clear and timely communication between field staff, clients and the operations team
- Using client scheduling platforms, including EQL FMC and Microsoft Teams
- Providing accurate reporting on project status and progress
- Creating job files and preparing job packs prior to project mobilisation
- Coordinating mobilisation requirements, including travel, accommodation, vehicle and plant hire, training, inductions, PPE and other site requirements
- Maintaining live travel manifests, training matrices, vehicle/fleet registers and project-specific records
- Monitoring and tracking site-based maintenance activities and ensuring records remain current
- Liaising with third parties regarding site-specific requirements for personnel, vehicles, plant and machinery
- Assisting with recruitment, onboarding and pre-employment requirements for new team members and contractors
- Booking and coordinating site-specific training, inductions, VOCs, medicals and drug and alcohol screening as required
- Providing general administrative support to the Operations Manager and wider operations team, including document preparation, correspondence, filing, printing and scanning
- Assisting with meetings, including preparation of documentation and minute taking
- Collating, coding and submitting project-related receipts
- Identifying opportunities to improve administrative, scheduling and operational processes
Essential Criteria
- Qualifications in Business, Project Administration, Office Management or a related discipline
- Minimum 3 years’ experience in project administration or a similar role
- Demonstrated experience in scheduling and coordinating operational activities
- Strong customer relationship management, communication and interpersonal skills
- Excellent attention to detail and a high level of accuracy
- Intermediate proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook
- Experience using computers, printers, scanners and internet-based systems
- High efficiency and accuracy in typing and word processing
- Experience with diary and travel management
- Experience using client scheduling platforms, preferably EQL FMC and Microsoft Teams
- Excellent time management and organisational skills
- Ability to provide accurate reporting on project status and progress
- Ability to communicate clearly and effectively with field and operational teams
- Current National Police Clearance
- Valid Australian C Class Driver’s Licence
- Demonstrated commitment to workplace health and safety and a good safety record
Desirable Criteria
- Experience in the utilities, construction and/or resources industries
- Experience with Gearbox Fleet Maintenance filing systems or similar
- First Aid Certificate
- Strong ability to work both independently and collaboratively within a team
- Ability to manage multiple priorities, solve problems and meet deadlines while maintaining a high standard of work
- Professional and confident manner when representing the Company
