Description of the role: We are seeking a proactive and highly organised Team Assistant / Client Services Coordinator to support our Technology industry team. This role is responsible for ensuring the smooth administration of client engagements, maintaining compliance processes, managing workflow systems, and providing exceptional support to both clients and team members.
The successful candidate will play a key role in delivering a seamless client experience throughout the client lifecycle, from onboarding through to offboarding, while helping the team with compliance and regulatory requirements.

What your day might look like:
Coordinating onboarding of new clients, including being the first point of contact after engagement to ensure a seamless onboarding experience
Take ownership of supporting and managing our Administrative Assistant based in the Philippines, including overseeing her professional growth and career development.
Prepare client engagement packs, update client databases, and maintain records in compliance with firm policies.
Deal directly with the Australian Taxation Office and other regulators on non-technical client matters.
Provide day-to-day administrative assistance to the team.
Manage calendars, schedule internal and client meetings, and handle meeting logistics.
Draft routine correspondence, client emails, and internal memos.
Assist in billing processes: generate draft bills, track WIP, and liaise with accounts for follow-ups.
Assist in the organisation of team events or training sessions.
Manage client files and ensure documentation is complete and accurate.
Liaise with clients to understand their needs and respond to non technical inquiries.
Collaborate closely with partners, accountants, and other departments to coordinate overall client service delivery.
