Purchasing Coordinator — Job Description
Overview
Manage procurement operations to ensure timely, cost-effective purchase of goods and services; maintain supplier relationships, process purchase orders, and support inventory and spend controls.
Key responsibilities
- Procurement processing: Create, review, and issue purchase orders (POs); verify requisitions and approvals; track PO status through delivery.
- Supplier management: Source and evaluate suppliers, obtain quotes, negotiate terms/prices, and maintain supplier records and performance metrics.
- Order tracking & expediting: Monitor deliveries, follow up on late shipments, resolve supplier issues, and coordinate returns or replacements.
- Inventory coordination: Work with inventory/warehouse teams to maintain stock levels, reorder points, and cycle counts; support demand planning.
- Invoice & payment support: Match POs, goods receipts, and invoices; liaise with accounts payable to resolve discrepancies and process payments.
- Contract support: Assist in preparing and maintaining contracts, purchase agreements, and service-level agreements (SLAs).
- Reporting & analytics: Produce procurement reports (spend analysis, supplier KPIs, lead times), track cost savings, and identify process improvements.
- Compliance & controls: Ensure procurement follows company policies, internal controls, and regulatory requirements; maintain accurate documentation and audit trails.
- Cross-functional collaboration: Partner with operations, production, finance, and engineering to understand needs and prioritize purchases.
- Continuous improvement: Support sourcing initiatives, standardization of parts, and process automation (e-procurement tools).
Required qualifications
- Associate’s or bachelor’s degree in Business, Supply Chain, Procurement, or related field, or equivalent experience.
- 1–3 years’ experience in purchasing, procurement, or supply-chain support.
- Familiarity with ERP or procurement systems (e.g., SAP, Oracle, NetSuite, Coupa) and MS Excel.
- Strong organizational, negotiation, and communication skills.
- Attention to detail and ability to manage multiple priorities under tight timelines.
Preferred qualifications
- Certification such as CPSM, CIPP, or CIPS (or equivalent) is a plus.
- Experience with MRO, direct materials purchasing, or international procurement (incoterms, import/export).
- Knowledge of inventory management, demand planning, and basic cost-accounting principles.
- Experience with process improvement methodologies (Lean, Six Sigma).
Pay: $5,523.93 – $7,533.34 per month
