Seeking Scheduling/Administration Officer
This role will look after our participants on a day-to-day basis and coordinate in-home and community access care services on behalf of the business. We are looking for a warm, positive, enthusiastic individual who understands the importance of providing end to end customer experiences whilst being a team player.
Experience in rostering and general administration tasks is a prerequisite but not necessarily a must if you have that strong willingness to learn and want to dedicate yourself to a growing service.
We will highly look at anyone with a minimum Certificate III in Business Administration and NDIS exposure.
You must be have a strong ability to build rapport and proactively resolve queries whilst providing a high level of service to each participant. You must also have an ability to simplify information which can seem very complex to participants and communicate in a clear and articulate manner.
Reporting directly to the Operations Manager daily, the following is what you will need to succeed in this role;
Key Responsibilities
- Managing NDIS intake procedures, including receiving enquiries, gathering participant information, and processing new participant applications.
- Be involved in the initial process of an intake by identifying information and needs of a prospective participant and then helping to set up the Intake appointment
- Maintaining accurate and confidential participant records and documentation in accordance with NDIS requirements and privacy legislation.
- Scheduling shifts, appointments and coordinating participant visits where applicable
- Providing administrative support to the broader team, including data entry into our CRM system, filing and document management.
- Managing phone calls and emails with daily ONCALL support to the team (to be negotiated). Always communicate professionally and courteously during this process.
- Assist the Operations Manager liaise with NDIS planners, support coordinators and other stakeholders on behalf of participants.
- Maintain office systems and procedures to ensure efficient daily operations
- Supporting compliance with NDIS guidelines, disability support standards, and relevant legislation.
- Report frequently with the Operations Manager and Director on areas of concern and important matters. Keep communications lines open and transparent whilst also working autonomously in your role.
What we are looking for
- Either previous experience working in NDIS administration or a level of understanding and what is expected of someone to work in this field or a willingness to learn
- An understanding of service delivery
- Knowledge of NDIS process, participant experience and engagement will be highly considered
- Strong organisational skills with the ability to manage multiple tasks and completing priorities in a timely manner
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office applications and experience with client management systems or the confidence and willingness to learn
- Demonstrated ability to work with sensitivity and respect when supporting people with disabilities
- Strong attention to detail and commitment to maintaining accurate records
- A compassionate approach to participant interaction and a genuine interest in supporting vulnerable populations
- Ability to work independently and as part of a collaborative team
- Current Working with Children Check (or willingness to obtain one prior to the commencement of the position) and satisfactory background screening
- Recent Police Check
- NDIS Screening Check
- NDIS Orientation Module completed (prior to commencement of the position)
- Infection Control and Hand Hygiene Certificate or willingness to obtain

Pay: $63,880.00 – $69,381.57 per year
