This role will involve coordinating and scheduling services for clients, supporting the day-to-day operations of the business, and assisting with general administration tasks.
You will work closely with the Care Partners, Home Care Team Members, and leadership team to ensure services are delivered efficiently, professionally, and in line with client needs.
This is a fast-paced role requiring strong organisation, problem-solving ability, and confidence using multiple systems throughout the day.
Key Responsibilities
- Coordinating and scheduling client services across the community
- Managing roster changes, cancellations, and urgent service adjustments
- Supporting communication between clients, families, and care staff
- Monitoring schedules and ensuring services are appropriately allocated
- Assisting with onboarding and administration processes
- Supporting documentation and maintaining accurate records
- Assisting with phone enquiries and general office coordination
- Working collaboratively with the broader Poppy’s team
What We’re Looking For
- Previous scheduling or rostering experience, preferably within the Home Care or Community Care sector
- A strong understanding of the SCHADS Award and its practical application within workforce scheduling
- Excellent organisational and time management skills with the ability to prioritise competing demands
- Experience working in a fast-paced environment while maintaining accuracy and attention to detail
- Exceptional communication skills with the ability to build positive relationships with clients, families, team members and external stakeholders
- Strong problem-solving skills and the ability to think quickly and calmly when unexpected changes occur
- Confidence using technology, including Microsoft Outlook, Microsoft Office, Teams, and multiple software platforms simultaneously
- Strong administration and data entry skills with a high level of accuracy
- A minimum typing speed of 40 words per minute (preferred)
- Experience working across multiple screens and systems throughout the day
- A commitment to maintaining continuity of care and delivering exceptional client outcomes
- A proactive, positive and supportive approach to teamwork
Recruitment Process
As part of the recruitment process, shortlisted applicants will complete online Microsoft Office and administration skills assessments. Successful applicants will be required to demonstrate strong computer literacy, typing proficiency and the ability to confidently navigate multiple software systems.

Pay: From $70,000.00 per year
