About the Role
We are seeking two organised and proactive Project Coordinators to join our team at our Port Hedland site on an 8:6 roster.
Operating in a back-to-back capacity, you will play a key role in supporting the successful delivery of projects across the business, ensuring seamless coordination, communication, and continuity between rostered shifts.
Working closely with project teams, managers, clients, and contractors, you will coordinate project administration, scoping, quotations, scheduling, documentation, and stakeholder communications to ensure projects are delivered safely, efficiently, and on time. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys working collaboratively to achieve successful project outcomes.
Key Responsibilities
Coordinate site inspections, project scoping, risk assessments, and access requirements.
Obtain required approvals from landlords, authorities, and other stakeholders.
Prepare and submit project scopes, budgets, quotations, and programs for client approval.
Coordinate labour, subcontractors, equipment, materials, and logistics for project delivery.
Maintain regular communication with clients and project stakeholders throughout the project lifecycle.
Prepare comprehensive job packs, including scope, safety documentation, schedules, and client requirements.
Arrange site access and ensure all personnel have completed required inductions.
Process purchase orders, invoices, quotations, and project-related administration.
Assist with tender preparation and project documentation.
Maintain accurate project records and file management systems.
Monitor project progress and escalate issues to the Project Manager as required.
Compile and submit completion documentation to clients in line with project requirements.
About You
Previous experience in a Project Coordinator, Project Administrator, or similar role.
Strong organisational and time management skills.
Excellent communication and stakeholder management abilities.
Experience coordinating multiple projects and competing priorities.
High attention to detail and strong administrative skills.
Proficiency in Microsoft Office and project management systems.
A proactive approach to problem-solving and continuous improvement.
