We are seeking an organized and proactive Part-Time Office Administrator to join our team, working three days per week and reporting directly to the Office Manager. This role offers variety and would suit someone who enjoys being the central point of coordination for office administration and support functions.
About the Role
As a key member of our administration team, you will provide day-to-day support to ensure the smooth operation of our office and assist various departments with administrative and clerical functions.
Description:
Key Responsibilities
Office Administration
Manage correspondence and general office communications.
Maintain filing systems and document archiving.
Monitor and order office, kitchen and stationery supplies.
Process supply requisitions for approval.
Organise catering and supplies for company functions and meetings.
Conduct daily office walk-throughs and report maintenance issues.
Coordinate distribution of company uniforms and PPE.
Monitor and replenish consumables for satellite offices.
Assist with incoming and outgoing mail management.
Arrange courier services.
Prepare documents, including laminating and collation of reports.
Reception & Clerical Support
Provide reception and telephone support.
Manage meeting room bookings and visitor coordination.
Perform general clerical and secretarial duties.
Data entry and document formatting.
Document control administration.
Prepare site packages using approved templates.
Prepare and distribute standard forms and documentation.
Coordinate monthly agendas and distribute monthly reports.
Administrative Support
Prepare and distribute meeting minutes.
Coordinate onboarding paperwork for new employees.
Arrange equipment allocation and administration for new starters.
Provide administrative assistance to various departments as required.
Skills and Experiences:
About You
To be successful in this role, you will have:
Previous experience in office administration, reception or a similar support role.
Strong organisational skills and attention to detail.
Excellent written and verbal communication skills.
Intermediate Microsoft Office skills, including Word, Excel and Outlook.
The ability to manage multiple priorities and work independently.
A positive, professional and team-oriented approach.
Experience within the construction industry will be highly regarded but is not essential.
