Smart Records Group is a specialist records management company working with schools across Victoria, Tasmania and South Australia. We're looking for a capable all-rounder to cover a 12-month maternity leave contract in a role that sits right at the heart of the business. If you like variety, enjoy talking to people, and take satisfaction in keeping things organised and moving, read on.
About the role
This is a genuinely varied position — no two days look the same. You'll be the go-to person for customers, the glue between our internal teams, and a key operator across scheduling, invoicing, CRM and training coordination.
Day to day, you'll be:
- Looking after customers across phone, email and support tickets — inbound enquiries, outbound follow-ups, and everything in between
- Running software training sessions for school staff, both one-on-one and in groups, in person and across video platforms
- Raising invoices for services and product orders
- Keeping our CRM accurate and up to date — logging activity, verifying details, tidying records
- Scheduling jobs and coordinating with our operations team
- Offering, booking and following up on our full range of services, and providing after-service support
- Working on archive sentencing and cataloguing projects
- Liaising with partner service providers
- Pitching in with other departments when they need a hand
About you
You don't need records management experience — we'll teach you that. What matters is:
- You're confident and warm on the phone and in writing
- You're organised, with a natural instinct for following things through
- You're comfortable juggling several things at once without dropping any
- You pick up new software quickly and aren't fazed by tech
- You enjoy training or explaining things to others, or you're keen to learn
- You work well in a small team where everyone helps each other out
Experience in customer service, operations, admin coordination, CRM work, or client-facing roles in professional services is all relevant.
