Reporting to the General Manager – Early Childhood Education (ECE), you will play a key role by providing operational, reporting and administrative coordination across the ECE function, with a particular focus on operational, administrative and financial reporting, supporting annual operation planning programs, and managing inboxes.
This role has a high level of autonomy, requiring the ability to work across multiple tasks and workstreams daily, manage data accurately, meet deadlines, and communicate effectively with internal teams and external partners.
About the role

You will assist with operational, administrative and financial reporting relating to ECE service delivery, compliance, audits, budgets, and service openings and closures

You’ll be supporting the effective delivery of the annual operational cycle, including service start-up, orientation, transition and end-of-year processes, ensuring a consistent approach across services

You’ll work with key stakeholders to coordinate Approved Provider reporting obligations with the Department of Education, particularly the annual Service Improvement Plan (SIP) cycle

You’ll demonstrate your excellent attention to detail and organising skills while maintaining key operational databases and records

You’ll be adept at managing inboxes, including triaging and escalating as required

You thrive in a fast-paced environment, balancing competing priorities
About you

You hold a Certificate III or IV in Business Administration, or have equivalent demonstrated experience in a similar administrative support role

You can demonstrate a high level of computer literacy and ability to administer and maintain electronic systems and workflows and the ability to adapt to changing technological needs and environments

You have strong experience in interpreting and translating data into clear, accurate and meaningful reports that support informed decision-making

You have experience supporting senior leaders in a large organization

You have experience providing administrative support at a multi-site organisation (Bonus points for experience in Early Childhood Education!)

You have experience coordinating contractors or service providers, including scheduling, inductions, and vendor performance management

You hold a current Victorian driver's license (or ability to obtain), Working with Children’s Check (WWCC), and a satisfactory National Police check
