About the Role
We are seeking a full-time Project Coordinator to support the planning, coordination and delivery of HVAC, mechanical services, ductwork manufacturing, installation and refrigeration pipework projects.
This role has a strong technical coordination focus and will involve working closely with project managers, engineers, estimators, drafting teams, site supervisors, technicians, suppliers, subcontractors and clients to ensure project activities, documentation, schedules, materials and site requirements are properly coordinated.
The successful candidate will assist with project planning, technical documentation, procurement coordination, project tracking, reporting and communication between office, workshop and site teams to support the successful delivery of mechanical services projects.
As project Coordinator, you will be responsible for the following duties :
- Coordinate day-to-day project activities assisting project managers and technical teams with project planning, scheduling, documentation and progress tracking.
- Review and coordinate technical project information, including drawings, specifications, site instructions, work orders and project requirements.
- Liaise with engineers, estimators, drafting teams, workshop staff, site supervisors, technicians, suppliers, subcontractors and clients to support project delivery.
- Coordinate project resources, meetings, communications, key milestones, documentation and follow-up actions.
- Maintain project schedules, task trackers, Gantt charts, registers, project files and progress records.
- Assist with the coordination of materials, fabrication requirements, procurement, purchase orders, quotes, invoices and supplier documentation.
- Monitor project progress against timelines, identify delays or technical coordination issues, and escalate matters requiring attention.
- Support the review and administration of project variations, site changes, work order updates and contractor activities.
Skills & Experience
- Minimum Diploma qualification in Project Management OR Bachelor of Civil Engineering, OR Mechanical Engineering.
- Minimum 1 year of proven experience in project coordination or similar .
- Good communication skills and ability to liaise with technical teams, site personnel, suppliers, subcontractors and clients.
- Strong attention to detail and ability to follow up on project actions, issues and documentation.
- Proficiency in Microsoft Office, including Excel, Word and Outlook.
