About the Role
We are seeking an experienced and highly organized Office Manager to oversee the day-to-day administration of our business while managing and conducting internal ISO audits. This role is ideal for someone who thrives in a fast-paced environment, has strong attention to detail, and is passionate about maintaining quality, safety, and compliance standards.
Key Responsibilities
Office Management
- Manage daily office operations and administrative functions.
- Coordinate schedules, meetings, and company communications.
- Maintain company records, databases, and filing systems.
- Support payroll, invoicing, accounts administration, and purchasing activities.
- Assist management with reporting, documentation, and business processes.
- Liaise with clients, suppliers, subcontractors, and regulatory authorities.
ISO Compliance & Auditing
- Coordinate and maintain the company's ISO management systems.
- Plan, conduct, and document internal audits for ISO standards (e.g., ISO 9001, ISO 14001, ISO 45001).
- Monitor corrective and preventive actions and ensure timely close-out.
- Prepare documentation and evidence for external certification audits.
- Maintain policies, procedures, registers, and compliance records.
- Identify opportunities for continuous improvement across business operations.
- Support management reviews and compliance reporting.
Health, Safety & Quality
- Assist in maintaining workplace health and safety systems.
- Monitor compliance with company policies and industry regulations.
- Support incident investigations and corrective action implementation.
- Promote a culture of quality, safety, and continuous improvement.
Skills & Experience
- Previous experience in an Office Manager role.
- Experience conducting internal ISO audits and managing ISO-certified systems.
- Knowledge of ISO 9001, ISO 14001, and/or ISO 45001 standards.
- Strong administrative and organizational skills.
- Excellent written and verbal communication abilities.
- High attention to detail and strong problem-solving skills.
- Proficiency in Microsoft Office Suite and business management software and Xero.
- Ability to work independently and manage multiple priorities.
Desirable Qualifications
- Experience in construction, civil works, road maintenance, or line marking industries.
- Certificate or Diploma in Business Administration, Quality Management, WHS, or related field highly desirable.
