- The Executive Assistant/Administrative Support Officer provides high-quality administrative, coordination, secretariat and executive support across the division.

Working under general direction, the role is responsible for diary and inbox management, meeting and committee coordination, travel arrangements, records management and supporting the delivery of branch and divisional priorities.

Who we are
The Electricity Division provides policy advice to the Australian Government on matters that support electricity markets to deliver beneficial outcomes for consumers. We support the Minister for Climate Change and Energy and Assistant Minister to drive national electricity market reforms and implement government policies that promote affordable, secure, and reliable electricity supply through the transition to net zero emissions. The division is also responsible for delivering a range of nationally significant projects in support of the energy transition, including the National Consumer Energy Resources Roadmap, the Cheaper Home Batteries Program, community energy programs, and a joint review with the Department of Treasury into the performance of electricity markets as they evolve with the energy transformation
These positions sit in multiple branches across the Electricity Division.
The job
Key duties include, but are not limited to:
- Provide diary management and coordinate appointments, meetings and competing priorities.

Manage executive and shared inboxes, assisting with allocating items, workflow management and filing.

Provide secretariat support for meetings and committees, including coordinating meeting schedules, preparing agendas and papers, recording meetings, tracking actions and supporting follow-up activities.

Provide support with meeting preparations, including logistics for in-person and virtual meetings.

Coordinate travel and associated arrangements in line with departmental requirements, including bookings, itineraries, approvals and acquittals.

Provide administrative support, including maintaining documents, distribution lists, organisational charts and communications.

Build effective working relationships across DCCEEW and with external stakeholders, acting as a professional first point of contact.

Handle sensitive information with discretion and apply judgement to escalate issues appropriately.

Maintain records in approved recordkeeping systems in accordance with departmental policies and branch practices.

Contribute to continuous improvement by identifying efficiencies in administrative processes and ways of working.

Provide backup support to other Executive Assistants across the division as required.

Eligibility
Citizenship - to be eligible for employment with the Department of Climate Change, Energy, the Environment and Water you must be an Australian citizen.
Security Clearance - this position requires a
Baseline Vetting security clearance. You will be required to obtain and maintain a clearance at this level.
Pre-employment checks - your suitability for employment will be assessed through a pre-employment screening process. This process includes a requirement to undergo and satisfy a National Police Check, referee checks, character clearance and where required a pre-employment medical assessment, specified mandatory qualification(s) validation and a probation period.
