Where you'll be working:
The Referral Management team forms part of John Hunter Hospital Outpatient Services and is based at the James Fletcher Campus in Newcastle.
The team plays an important role in the outpatient patient journey, managing incoming referrals across a broad range of specialist outpatient services. Working within a busy and collaborative administrative environment, the team helps ensure referrals are accurately processed and directed to the appropriate specialty for clinical review and triage.
This is a great opportunity to join a team that works closely with clinical and administrative staff across John Hunter Hospital to support timely and effective access to outpatient care.
About the role:
The successful candidate will work within the Referral Management team, will manage and process the stream of referrals received by John Hunter Hospital Outpatient Services.
Day-to-day responsibilities will include reviewing incoming referrals, accurately entering and updating referral information, ensuring referrals are directed to the appropriate specialty or service, and identifying information that may require clarification or further review.
Accuracy is particularly important in this role. The work completed by Referral Management contributes to the beginning of a patient's outpatient journey, so ensuring information is entered correctly and referrals reach the right service is essential.
The role will work collaboratively with other members of the Referral Management team, Team Leaders, outpatient administrative teams and clinical services, and will report through the Outpatient Services administrative management structure.
About you:
We are looking for someone who is organised, comfortable working with computer-based systems and, most importantly, has excellent attention to detail.
Our ideal candidate is someone who takes pride in getting things right. They will be comfortable checking – and sometimes triple-checking – their work, particularly when processing information that directly contributes to patient care.
They will also understand that asking questions is a strength. We would much rather someone stop and seek clarification when they are unsure than assume. Being approachable, willing to learn and comfortable communicating with colleagues and Team Leaders is therefore important.
Previous experience with SDPR or referral management would be beneficial; however, these processes and systems can be taught. Attention to detail, accountability, willingness to learn and the confidence to ask questions when unsure are the qualities we value most.
How you'll be supported:
The successful candidate will be supported through a structured orientation and training period within the Referral Management team. They will receive practical, hands-on training in the team's processes and the use of SDPR for referral management, with support from experienced team members and Team Leaders as they build their knowledge and confidence.
Training will be provided progressively, with opportunities to ask questions, clarify processes and consolidate learning before working more independently. Ongoing support will remain available as the successful candidate becomes familiar with the different specialties, referral pathways and processes across John Hunter Hospital Outpatient Services.
We understand there is a lot to learn in Referral Management, and we don't expect someone to know everything on day one. We are looking for someone who is willing to learn, asks questions and takes the time to get things right.
