Reception & Client Services:
- Greet clients and visitors in a welcoming and professional manner.
- Manage front desk operations, including answering phones, checking in clients, and responding to general inquiries.
- Schedule, confirm, and reschedule client appointments using clinic software.
- Ensure smooth client flow in the waiting area and support clinicians with timely client transitions.
- Assist with new client onboarding, including intake forms and consent documentation.
Billing & Payments:
- Process Medicare claims and manage private payments via EFTPOS or other payment platforms.
- Issue invoices and receipts; follow up on outstanding payments or claim rejections.
- Maintain accurate and confidential financial and client records.
- Reconcile daily transactions and prepare bank deposit summaries as required.
Office & Resource Management:
· Maintain a clean, organized, and fully stocked reception and office area.
· Monitor stock levels and place orders through purchase request forms.
· Maintain clinic equipment (e.g., printers, EFTPOS terminals) and liaise with technical support when needed.
· Oversee the organization and upkeep of the resource room, including printed materials, assessments, and client handouts.
Administrative & Clinical Support:
- Prepare and distribute client files and session notes to clinicians as needed.
- Format, print, or send reports and letters under clinician instruction.
- Ensure client data is entered and updated in Echidna.
- Assist with onboarding new staff, including orientation materials and IT setup coordination.
Compliance & Confidentiality:
- Maintain compliance with clinic privacy and confidentiality policies in accordance with relevant legislation (e.g., Privacy Act, Medicare guidelines).
- Assist with audits, accreditation preparation, and document filing.
Event & Team Coordination:
- Plan and coordinate logistics for staff development days and end-of-year events.
- Organize catering, materials, agendas, and venues where applicable.
- Assist with internal communications and team notices.
Other Duties
· Any other duties as required by management and other department personnel as requested/required.

Pay: $49,900.00 – $80,190.47 per year
