Gippsland Insulation is looking for an experienced and highly organised Office Coordinator to join our small, hardworking team at our warehouse in Warragul.
This is a hands-on and varied role where you’ll take ownership of the day-to-day administration and help keep our office, customers and field operations running smoothly.

About the Role
Reporting to the General Manager, you’ll be responsible for managing the day-to-day office and administration functions, including:
- Managing phone calls, emails and general customer enquiries
- Coordinating day-to-day office administration and communication
- Supporting scheduling and field-based operations
- Managing customer invoicing and accounts receivable
- Liaising with customers, suppliers and service providers
- Preparing and maintaining internal documentation, contracts and service agreements
- Maintaining company databases, records and document management systems
- Developing and improving administrative processes and procedures
- Managing office supplies, services and general office requirements
- Supporting workplace health and safety administration
- Providing general administrative and operational support as required
About You
We’re looking for someone who is a confident self-starter, taking ownership of the office and comfortably managing multiple priorities.
You’ll ideally have:
- Previous experience in an Office Coordinator/Manager, senior administration or similar role
- Strong organisational and time-management skills
- Excellent written and verbal communication
- Great attention to detail
- Confidence dealing with customers, suppliers and trades
- Strong computer skills and the ability to quickly learn new systems
- A proactive, practical and solutions-focused approach
- The ability to work independently while being an important part of a small team
Experience within the construction, trades or service industry would be highly regarded, as would be experience with scheduling, job management or CRM software.
Hours
Full-time | Monday to Friday | 8:00am – 4:00pm with flexibility available for the right candidate.
