The Department of Justice and Community Safety is seeking an Executive Assistant to provide support within Aboriginal Policy, Treaty and Truth.
This is a prioritised role for Aboriginal and/or Torres Strait Islander peoples, who will be given priority consideration as per the special measures provision of the Equal Opportunity Act 2010.
About the Business Unit
Aboriginal Justice Group drives systemic change in the justice system, to achieve improved outcomes for Aboriginal Victorians. We work in partnership with Victorian Aboriginal communities and are guided by principles of Aboriginal self-determination.
We lead the implementation of the Aboriginal Justice Agreement and community partnerships, support the development of policy and legislation impacting Aboriginal Victorians, deliver the Stolen Generations Reparations Package, implement the department's Aboriginal Workforce Strategy, administer funding for Aboriginal community led program delivery and lead the department's engagement with the Victorian Treaty processes.
The Aboriginal Policy, Treaty and Workforce division drives structural, systemic, and cultural transformation across the Department to improve justice outcomes for Aboriginal Victorians.
The division is made up of the Aboriginal Justice Policy Reform and Aboriginal Workforce units. Aboriginal Justice Policy Reform leads Aboriginal Justice Group's law and policy reform agenda supporting government to consider the impact on, and work with, Aboriginal communities in the development of policy and legislation that impacts them. The Aboriginal Workforce Unit supports the department's commitment to a culturally safe and responsive workplace by driving the Aboriginal Workforce Strategy 2024-2027, investing in the growth of Aboriginal staff and students, and systematically elevating cultural capability across the broader workforce.
About the role:
The Executive Assistant reports to the Director, Aboriginal Policy, Treaty and Workforce, and will provide high level executive and administrative support to this position and the Deputy Secretary Aboriginal Justice, and their associated business units.
Responsibilities include a wide range of executive and business support tasks and ensuring that competing priorities are delivered in an organised, professional and consistent manner. Duties include email and calendar management, supporting internal and external meetings and events with stakeholders, tracking correspondence and briefings, managing travel, and processing invoicing and payments.
Some of your responsibilities will include:
- Provide executive support to nominated executives and their business units.
- Provide administrative and project support for workshops, staff meetings, events and in-house communications as required, including the coordination and distribution of meeting papers and the preparation of meeting agendas and minutes.
- Work collaboratively with other executive and business support staff to meet business priorities.
About you
To be successful in this role, you will have:
- Demonstrated knowledge and understanding of Aboriginal communities, society and culture, and the issues impacting them.
- Demonstrated ability to communicate sensitively and work effectively with Victorian Aboriginal communities.
- Demonstrated experience supporting business processes, including financial and human resources to support effective workgroup operations,
- Demonstrated ability to use the Microsoft office suite including SharePoint electronic records management system or similar and/or ability to rapidly learn new software tools.
