About the role
This position is responsible for overseeing the coordination, organisation and management of the Meetings of Council and Councillor Workshops. In addition, they will provide administrative support to the Secretariat function.
As this position provides high level direct support to Councillors, flexibility will be required for in office attendance that may be higher than the standard requirements across Council.
On a daily basis you will:
- Organise, coordinate and support all Meetings of Council, Councillor Workshops and Committee Meetings, including attendance, records management and end‑to‑end meeting logistics.
- Deliver efficient, accurate and timely secretariat services, including minute taking, action and outcomes tracking, correspondence management, and acting as a key point of contact for internal and external stakeholders.
- Provide high‑quality administrative, business and project support to the Secretariat team, including system support, staff training, research, surveys, and continuous improvement initiatives.
Coordinate and support training sessions, conferences and workshops, including stock control, logistics, supporting materials, and staff training on Secretariat processes and systems.

About You
The successful candidate should have minimum of 4 years’ experience supporting Council, Board meetings or Senior Executive Level.
You will also bring:
- Certificate IV in Business (Administration) or equivalent experience
- Demonstrated experience providing high level administrative support.
- Proven experience in MS Office suite and an Electronic Document Records Management System (EDRMS).
- Experience developing, reviewing and analysing Council or Corporate reports and presentations.
- Ability to maintain confidentiality and discretion
Proven ability to type 60 wpm
