About the Role:
As the Executive Assistant to the Critical Care Service Manager, you will play a pivotal role in supporting the leadership and operational success of the Critical Care Service at John Hunter Hospital. Working in a dynamic, fast-paced tertiary healthcare environment, you will provide high-level executive and administrative support that enables the efficient delivery of critical care services across one of the region's largest and most complex clinical portfolios.
Reporting to the Critical Care Administration Manager, you will be a trusted partner to the Critical Care Service Manager, managing a diverse range of confidential, strategic and operational responsibilities with professionalism, discretion and exceptional attention to detail. Your ability to anticipate priorities, coordinate competing demands and foster strong working relationships will be integral to the smooth functioning of the service.
In this role, responsibilities include but are not limited to:

Deliver proactive executive support, including complex diary and email management, meeting coordination and travel arrangements where required.

Prepare high-quality correspondence, reports, briefing papers, presentations and other executive documentation.

Coordinate meetings, committees and governance activities, including preparing agendas, recording accurate minutes and monitoring actions through to completion.

Manage confidential information and maintain accurate records in accordance with NSW Health policies, procedures and legislative requirements.

Act as a key point of contact for the Service Manager, liaising professionally with senior medical staff, nursing leaders, executives and a broad range of internal and external stakeholders.

Provide administrative support for operational projects, workforce management activities, recruitment processes and continuous service improvement initiatives.

Monitor competing priorities, manage critical deadlines and ensure the timely delivery of administrative and executive support functions.

Assist with financial administration, procurement processes, data collection and reporting to support informed decision-making.
While this role has no direct reports, it requires a high level of autonomy, initiative and sound judgement. Success in the position will be underpinned by your ability to navigate a complex healthcare environment, build collaborative relationships across multidisciplinary teams and deliver exceptional executive support that contributes to outstanding patient care and service excellence.
