Primary objective
To provide a high level of administrative and secretarial support to the Executive Director.
Context statement
Teaching and Learning Services (TLS) provides evidence-based differentiated services and support to schools to maximise
outcomes for Territory children and young people. Our services encompass quality teaching and learning, national and
systemic assessment, transition to boarding school support and policy coordination. TLS also plays a strategic role in
implementing government priorities, offering expert advice to the Minister for Education and Training and the department’s
senior executives. We enhance our work by actively engaging with a broad range of stakeholders to ensure best outcomes
for all our clients.
Key duties and responsibilities
1. Provide high level executive administrative and secretarial support to senior executives within the department.
2. Processing and quality assurance of correspondence, maintaining records, initiating follow-up action to ensure deadlines
are met, scheduling appointments and meetings, compiling and distributing meeting papers.
3. Research and prepare high level confidential and sensitive briefings, submissions, reports and correspondence
4. Liaise effectively and discreetly with all levels of staff within the department, and with external stakeholders.
5. Build and sustain collaborative relationships and with a variety of stakeholders including the Chief Executive, senior
departmental staff members, other government agencies and external stakeholders.
Selection criteria
Essential
1. Proven successful experience working for a senior executive, demonstrating high level interpersonal, oral and written
communication skills.
2. Political astuteness with proven capability to operate effectively in a sensitive environment while maintaining high
standards of professionalism, ethics, personal resilience, reliability, integrity, accountability and adherence to public
sector values.
3. Knowledge and understanding of government and ministerial protocols, procedures, policies and legislation, including
standard formatting of correspondence, preparing high level reports, discussion papers, correspondence and Ministerial
and executive briefings.
4. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines,
work under pressure while maintaining quality of product and implement robust monitoring and evaluation systems to
identify areas for continuing improvement.
5. Proven ability to develop, maintain, apply and provide advice on procedures for administrative processes such as
procurement, credit card management, travel arrangements and records management.
6. Ability to work effectively in a collaborative and agile team, demonstrating ability to interact effectively with people from
diverse cultures and backgrounds to achieve outcomes through problem solving and influencing skills.
Desirable
1. Bachelor level or post-graduate qualification in a relevant discipline.
2. Knowledge of strategic directions and objectives of the Department of Education and Training and Northern Territory
Government.
