About the Role
This role is responsible for coordinating operational projects, contract administration activities, client communication, compliance reporting, and stakeholder engagement to ensure services are delivered in accordance with contractual and operational requirements.
The successful candidate will work closely with operational teams, senior management, clients, and external stakeholders in a fast-paced service delivery environment.
Key Responsibilities
Contract & Client Coordination
- Liaise with client representatives and internal stakeholders including the General Manager – Cleaning Operations (Education), Operations Managers, Area Managers, and Contract Compliance teams to support contract delivery and operational outcomes.
- Manage client enquiries by clarifying scope requirements, resolving issues, and documenting outcomes to support service continuity.
- Prepare formal responses to Department of Education enquiries using operational data and stakeholder consultation.
- Record and distribute meeting minutes including decisions, action items, ownership responsibilities, and agreed abatement outcomes.
Project & Operational Coordination
- Convert scopes and meeting actions into trackable worklists and maintain progress through regular stakeholder communication.
- Coordinate program, project, and service variations to ensure alignment with contractual and operational requirements.
- Maintain contract documentation, service scope variations, and operational planning records.
- Translate approved variations into operational instructions, checklists, and schedules and brief operational teams accordingly.
- Coordinate mobilisation, procurement, digital transformation, and service-improvement projects.
Reporting, Analysis & Compliance
- Conduct labour, equipment, and cost impact analysis relating to operational variations and projects.
- Maintain governance and audit compliance records including approvals, supporting evidence, and variation registers.
- Prepare weekly and monthly operational performance reports for senior management and the Department of Education.
- Maintain and update Working With Children (WWC) compliance records and provide compliance reporting where required.
- Analyse operational trends, workforce turnover, budget variances, emergency cleans, and compliance metrics to support operational improvement initiatives.
Operational Support & Continuous Improvement
- Respond to emergency clean requests by coordinating resources and ensuring safe and timely service delivery.
- Investigate service issues, identify root causes, and coordinate corrective and preventative actions.
- Prepare rectification and emergency clean reports with supporting evidence and compliance outcomes.
- Review abatement notices, compile evidence, and coordinate resolution activities.
- Assist with project charters, schedules, implementation plans, risk registers, and business case development.
Skills & Experience
- Bachelor or master’s in management or related
· Minimum 3 years Australian full-time experience in project administration, contract coordination, client services, or operational support roles.
- Strong stakeholder management, communication, and organisational skills.
- Experience preparing operational reports, meeting minutes, compliance documentation, and project records.
- Ability to analyse operational data, labour requirements, budgets, and cost impacts.
- Strong problem-solving skills with high attention to detail.
- Intermediate to advanced Microsoft Office skills including Excel, Word, Outlook, and PowerPoint.
- Experience in facilities management, cleaning operations, education sector contracts, or service delivery environments will be highly regarded.
