Projects and Operations Support Coordinator

This role offers flexibility around working days and hours, with an expectation that Tuesdays are worked on-site at our Kew campus.
An exciting opportunity exists for a highly organised and proactive Projects and Operations Support Coordinator to join MLC’s Information Technology Strategy & Services (ITSS) team. Reporting to the Chief Information Officer, this role provides operational, administrative and project coordination support across the department.
You will play a key role in supporting project delivery and departmental operations through financial administration, governance reporting, stakeholder communication, meeting coordination and project documentation. This is an ideal opportunity for someone who enjoys working across multiple priorities, building strong relationships and contributing to the successful delivery of technology and business initiatives across the College.
Some of your primary duties and responsibilities will include:
- Monitor departmental budgets, process invoices and track expenditure.
- Coordinate supplier and vendor payments in partnership with Finance.
- Schedule project meetings and workshops, including agenda preparation and minute taking.
- Maintain accurate project documentation and filing systems.
- Track project actions and follow up outstanding items.
- Support the identification and monitoring of project risks and issues.
- Assist with the collection, analysis and presentation of project data and performance metrics.
- Contribute to annual planning, project prioritisation and operational review processes.
- Prepare project status reports, financial tracking updates and milestone reporting.
- Support project governance and assurance activities.
- Coordinate stakeholder communications and project updates.
- Assist with change management and stakeholder engagement activities.
- Build strong relationships with internal and external stakeholders.
- Support cross-functional collaboration across the College.
- Undertake project coordination activities and special projects as required.

Desirable
- Experience in a project coordination, operations support or administrative role.
- Experience supporting governance, reporting or budgeting processes.
- Exposure to project management methodologies, tools or systems.
- Experience working in an education or not-for-profit environment.
