About the role
As the Sales Administrator, you’ll be the welcoming face and essential support behind our vibrant sales environment—playing a key role in showcasing our community and creating positive first impressions for every visitor. Working closely with the Sales team, you’ll help bring the customer journey to life. From coordinating enquiries and bookings to preparing contracts, maintaining accurate records, and ensuring the sales suite is always presentation-ready, you’ll keep everything running smoothly behind the scenes. You’ll also contribute to marketing initiatives, events, and the preparation of sales materials that highlight the lifestyle and experiences we offer.

Role responsibilities
- Provide support to the sales team by way of greeting clients, conducting tours of Village facilities and gathering client contact information
- Assist with telephone, email and written enquiries for the Membership Consultant
- Assist with walk-in enquiries, resident enquiries and phone calls
- Book appointments on behalf of the Membership Consultants, when required
- Ensure the sales office is always ready for appointments
- Check all contract documentation is completed correctly, with copies sent to relevant parties
- Provide assistance in marketing and promotional activities, ensuring information is accurate and displayed correctly
- Prepare and assist with preparations of brochures, welcome kits and other marketing material
- Check displays and vacant units on a regular basis to ensure they are clean, both internally and externally, and ready for inspection
- Ensure sales office has all required stationery items, office supplies, marketing materials and contract documentation readily available always
- Prepare, update and complete all additional forms for contracts and settlements as required
- Ensure that the sales consultants are informed of progress with contracts, and assist with follow up with clients and solicitors
- Assist in the preparation and execution of events both within the community and at external sponsorship locations
- Administer and maintain the LDK customer relationship system (Salesforce CRM) and keep it current on a daily basis
- Prepare and update sales files – both electronic and paper based
Qualifications, Experience and Skills
- Demonstrated strong administrative capability with a high level of attention to detail
- Highly developed interpersonal and communication skills
- Professional and courteous telephone manner
- Accurate recording and management of prospective client information
- Proficient in computer systems, including database management, Microsoft Office, and Outlook
- Understanding of legal processes and settlement procedures is desirable but not essential
- Demonstrated empathy and ability to work effectively within a caring, team-based environment
- High level of integrity and professionalism
- Well-presented with a professional personal presentation
- Reliable and dependable, with a strong commitment to responsibilities
- Flexible with working hours to meet the needs of prospective clients
