We are seeking a reliable and honest Accounts and Administrative Assistant to support our Bookkeeper with day-to-day financial and administrative tasks.
Key Responsibilities
Client Services & Communication
· Professionally answer incoming calls and emails
· Manage multiple shared inboxes
· Assist with onboarding new clients and input information into systems (ATO Portal, Xero, One Drive)
· Communicate with clients regarding deadlines and documentation
· Follow up on outstanding client documents
· Maintain accurate client records
Administration & Office Support
· Data entry, scanning, filing, and managing incoming mail
· Draft and send engagement letters, ASIC documents, and general correspondence
· Maintain workflow spreadsheets and track progress on tasks
· Assist with lodgement tracking (tax returns, BAS, IAS, ASIC)
· Manage compliance authorisations, agent appointments, and access to key systems, including tax and banking platforms
· Maintain records in line with firm procedures
· Collaborate with Corporate team members to complete corporate requests
ATO & Compliance Support
· Liaise with the ATO on behalf of clients and accountants
· Set up ATO payment plans and apply for lodgement extensions
· Monitor ATO notices and deadlines
· Manage linking and unlinking of entities in the ATO portal
Accounting Support
· Upload tax documents to client portals
· Update Practice Manager jobs, tasks, and due dates
· Run basic weekly reports and send to Partner
· Draft invoices and assist with payment setups
· Follow up on outstanding debtors
· Assist with tax return and BAS preparation checklists

· Basic computer skills (Outlook, Word, Excel or Google Sheets)

· Previous experience in an accounting practice is an advantage
· Ability to work collaboratively within a team
Pay: $30.00 – $35.00 per hour
Experience:
- QBO and Xero: 3 years (Required)
